53.84s a strong line of communication with your
56.84s manager so it's always a kind kind of an

1:4.80 management and with the teammates
1:7.52 and when i say interesting i i
1:9.44 definitely only mean that in a positive
1:11.76 light and
1:13.60 you know it's such a ongoing
1:15.68 conversation which is
1:17.76 how can we effectively communicate with
1:19.92 our management and with our teammates
1:23.04 without having to email or you know have
1:25.36 so many meetings
1:27.36 the goal is to have a kind of a two-way
1:29.84 street of communication for constant
1:32.24 progress updates
1:34.32 and you know constant chatter amongst
1:36.40 each other to make sure that your
1:38.24 priorities are aligned but how do we
1:40.48 achieve that again without emailing and
1:42.80 without having meetings
1:48.08 i've been lucky enough to
1:50.08 be with affluence for just about six
1:52.16 years at this point and
1:54.80 during those six years i've done a lot
1:56.48 of customer success and a lot of sales
1:59.60 and that's giving me the opportunity to
2:1.76 speak to our users firsthand those who
2:4.08 are first first seeing priority matrix
2:6.56 and
2:7.68 you know i get to hear a lot of their
2:9.04 feedback in terms of
2:11.20 communication challenges that they're
2:12.72 having with their management and
2:14.80 throughout the organization before they
2:16.56 adopt priority matrix
2:20.08 these communication challenges typically
2:22.32 look like sending dozens of emails with
2:24.56 several of them going unseen
2:27.04 struggling to follow up with
2:28.16 conversations through microsoft teams
2:30.80 and a lack of visibility and a lack of
2:33.12 progress updates
2:34.72 so i know for a lot of us on the webinar
2:36.96 today this um this definitely can
2:39.44 resonate with you because this these are
2:41.36 not
2:42.32 challenges that are just limited to a
2:43.92 certain type of role or certain
2:45.60 organization they're definitely felt
2:47.84 across you know essentially every team
2:50.40 that doesn't have a good system in place
2:52.32 right now
2:56.08 the priority matrix approach is set up
2:58.24 to support streamlined communication

4:12.48 able to provide a little bit more

4:19.92 and you can get a lot more done in a
4:21.76 short period of time
4:26.64 so as i mentioned priority matrix does

4:48.16 ourselves here at affluence to make sure
4:50.32 that priority matrix has
4:52.40 an incredibly strong integration with
4:54.48 the teams platform so for those of you
4:57.28 who have adopted teams primarily you're
4:59.60 able to continue working in there but
5:2.00 you can you know kind of elevate your
5:4.56 prioritization and communication with
5:6.96 your team
5:11.76 so what are we going to be looking at in
5:13.68 the live priority matrix demo which will
5:16.32 be coming up just following the screen
5:20.48 i'm going to teach you how you can have
5:22.64 a powerful communicative relationship
5:25.28 between a manager and teammate

5:35.68 and being in touch constantly or feeling
5:38.56 like it's kind of overbearing and
5:40.16 spending too much time in your emails

5:50.64 priority matrix with microsoft teams
5:52.56 specifically in a couple different
5:54.08 places for
5:55.52 central communication
5:57.60 and we're also going to look at how you
5:59.12 can effectively share and receive status
6:1.36 updates and a couple different views
6:3.28 that throughout priority matrix
6:7.60 so with all that being said i wanted to

6:33.36 screen for those of you who are just
6:35.60 seeing priority matrix now for the very
6:37.76 first time i'm going to give you just
6:39.68 kind of a quick demo so you can
6:41.04 understand kind of the lay of the land
6:43.52 so the during the duration of this
6:45.76 webinar it's not terribly confusing it's
6:47.68 to kind of what i'm talking about here
6:51.04 so right now on my screen what we're
6:52.64 looking at this is my priority matrix
6:54.80 application
6:56.08 integrated directly into microsoft teams
6:58.80 so you'll see on the left hand side that
7:0.64 i've got priority matrix installed and i
7:2.88 have it pinned open
7:4.72 which i definitely suggest all of you do
7:7.52 this is going to allow priority matrix
7:9.44 to stay open really no matter where
7:11.68 you're working within your microsoft
7:13.68 teams platform
7:18.40 for those of you who do like to follow
7:20.16 along during this presentation i always
7:22.24 like to point out that i have in my
7:23.68 projects tab selected
7:25.68 and then i clicked on the four quadrants
7:27.92 and this kind of opens up that central
7:29.84 place
7:30.88 where you're going to be able to create
7:32.64 projects
7:33.76 which will then be shared with your
7:35.28 teammates and your management
7:38.24 so these projects are there to kind of
7:40.08 create a folder or a bucket if you will
7:42.88 to say hey you know here's all the
7:44.96 priorities that fit under this topic
7:46.88 that we are working on as a team
7:49.20 so from that management perspective they
7:51.44 know where to go to see those specific
7:53.44 status updates
7:54.96 for those priorities in that project
7:59.44 so a couple things i always like to
8:1.04 point out let's say you have a team of
8:4.08 30 people using priority matrix with you
8:8.08 when you go ahead and create a new
8:9.60 project so let's say you're an
8:11.20 individual contributor that's creating a
8:13.12 project
8:14.24 that maybe you only need to share with
8:16.40 your management and the whole group of
8:18.40 priority matrix users don't need to see
8:20.56 that project
8:22.16 that's no problem because that's
8:23.68 actually how priority matrix is set up
8:27.04 which is there to provide you that
8:28.72 privacy so you only have to share a
8:31.12 project with with those people that you
8:33.28 want to share with and whenever you're
8:35.52 ready it's not automatically going to be
8:37.60 shared with anybody
8:41.20 so when we go in here and i go ahead and
8:43.84 i open up a project
8:46.32 this is now going to be that central
8:48.00 space that i've been kind of referring
8:49.60 to where you're going to be able to
8:51.44 collaborate with your teammates
8:54.24 so now we're kind of getting down into
8:56.08 the nitty gritty which is
8:57.92 how do we have that effective
8:59.52 communication
9:1.44 on those different levels between
9:3.12 teammates and a management position or
9:5.68 maybe it's several managers or several
9:7.68 different levels of management
9:12.24 so a couple things i want to specify
9:14.40 here when i create a project and i share
9:17.20 it with my teammates like i've done i've
9:19.12 added project members which you can see
9:21.28 on the right hand side
9:23.28 at this point everybody in this project
9:26.00 is able to see these priorities if i go
9:28.24 in here and i add a new action item
9:30.56 we'll just say new invoice is
9:33.12 in progress for
9:34.84 company x and then we'll just say this
9:37.76 is going to be due in four hours
9:39.84 just kind of a miscellaneous example
9:41.68 here but again these two other people
9:44.56 that i share this project with are now
9:46.72 in fact able to see this priority that
9:49.44 i've added
9:51.84 the question now becomes
9:53.92 for management and for users in priority
9:56.56 matrix is
9:58.08 does my manager need to see
10:0.48 notifications for the specific priority
10:3.12 that i just added
10:4.72 or is it enough for them just to be able
10:6.96 to go into the project and click on it
10:9.12 and see these updates when they want to
10:12.64 if the answer is yes and you're thinking
10:14.64 i'm a manager and i want to see these
10:16.64 progress updates
10:18.40 in real time as they're updated on this
10:21.04 item
10:22.32 all that person would have to do is
10:24.08 simply add the manager as a follower to
10:26.48 the item
10:27.76 so again what we're doing is we're
10:29.20 saying okay now when i go in and i
10:31.44 update the progress
10:33.04 or maybe i share an update and say email
10:36.00 was sent to
10:37.84 you know person y at 8am this morning
10:42.48 whatever type of status update the user
10:45.20 sharing at this point all of these
10:47.20 people added as followers are getting
10:48.88 these direct notifications
10:51.12 so it's kind of an interesting thing to
10:53.28 keep in mind which is that you're
10:55.12 definitely able to give your management
10:57.04 visibility into this entire project
11:0.08 without bombarding them with
11:1.44 notifications because you can pick and
11:3.20 choose on an item level
11:5.20 what type of updates you want them to
11:7.28 see
11:8.08 within this project
11:11.68 so hopefully that kind of makes sense
11:13.12 that's a really big question that we
11:14.40 typically get which is what's the
11:15.76 difference between just sharing a
11:17.36 project and actually wanting my manager
11:19.84 to receive these notifications
11:23.04 so now what we've done by using the
11:24.96 priority matrix project and action items
11:27.52 to share status updates is
11:30.32 we've eliminated the need to email
11:33.12 hopefully eliminated the need to
11:34.64 schedule meetings to see these progress
11:36.56 updates
11:37.76 and we're able to do this all in one
11:39.60 central space so anybody involved in
11:42.00 this project
11:43.28 will be able to see these priorities and
11:45.36 status updates
11:46.96 on the fly
11:52.80 all right so kind of moving on here
11:54.64 again circling back to kind of the main
11:57.28 project view to retouch on this concept
11:59.68 which is you can share projects with
12:1.36 your managers and then you can decide on
12:4.00 an item level
12:5.84 which priorities you want them to get
12:7.92 notifications for
12:10.48 so in terms of sharing notifications and
12:12.72 again kind of keeping that two-way
12:14.24 street of communication open
12:16.64 from that management perspective when
12:18.64 you're ready to see
12:20.56 status updates in live time with these
12:24.08 alerts coming up
12:25.52 they're gonna cruise to the actually the
12:27.28 alert section which is where you're
12:29.44 gonna see deadlines that occur
12:31.52 and
12:32.88 new comments from your teammates on
12:34.96 those items that they've added you as
12:36.72 followers for anything that your team is
12:39.76 trying to share with you in terms of
12:41.52 notifications is going to come right
12:43.20 into the alert section
12:45.36 i also want you all to understand that
12:47.60 you can click on an item for more
12:49.28 context to bring it up on the right hand
12:51.36 side
12:52.64 and you can also clear notifications
12:54.80 when you need to
12:58.64 another really powerful view that i
13:0.64 always like to point out for managers
13:2.64 and teammates using priority matrix is
13:4.96 our agenda view
13:7.36 so what happens in the agenda is the
13:9.44 system automatically looks across
13:12.56 all of the projects that you have
13:15.12 and it says okay erica here's every
13:17.76 priority that you own that has a due
13:20.24 date for today
13:22.72 so
13:23.84 from the teammate perspective or you
13:26.48 know individual contributor if you will
13:28.88 if your manager has created priorities
13:31.44 and assigned them to you
13:33.44 across several different projects and
13:35.52 this agenda view is going to be your
13:37.20 go-to space to make sure that you're not
13:39.44 overlooking any of those priorities
13:41.84 across all those different projects
13:45.28 now shifting gears if i go to items i
13:48.16 follow remember this would be that use
13:50.88 case of
13:52.64 a teammate creating priorities
13:55.44 adding the manager as a follower and now
13:59.36 from that management role we can go to
14:1.44 this agenda view and see
14:3.68 all of the people that we oversee
14:6.48 all the priorities that they've invited
14:8.56 us to follow
14:10.32 based off of the deadlines that we have
14:13.20 so that manager can make sure that
14:15.68 they're on top of all the status updates
14:17.84 and
14:18.88 see kind of this condensed view of what
14:20.88 their teammates would deem is the
14:22.64 highest priorities
14:24.48 based off of the deadlines for every
14:26.80 single day for the next seven days
14:31.36 so this is a really powerful view and in
14:33.76 fact it's pretty unique to priority
14:35.52 matrix because
14:37.60 without this centralized view i find
14:40.56 managers struggling to go through all
14:42.48 their emails maybe being in back-to-back
14:45.68 meetings to touch base with all their
14:47.36 teammates but with this condensed agenda
14:50.32 view
14:51.60 you know it's it's pretty much unlimited
14:53.68 visibility you can communicate back and
14:56.00 forth if you have questions so maybe i
14:57.76 say can you um
15:0.32 can you follow up sooner than this
15:2.48 afternoon
15:4.32 i can send that comment and again now
15:6.16 we're able to communicate share progress
15:8.00 updates without having to email or sit
15:9.84 through meetings
15:14.32 one more review which i would like to
15:15.76 show you all which is the one on one
15:18.16 in terms of
15:19.92 immediate visibility and effective
15:22.00 communication this one-on-one view is
15:24.40 probably going to be your go-to
15:26.56 especially if you're a manager and you
15:28.88 do oversee a group of people
15:31.68 and you
15:32.56 i definitely understand that managers
15:34.64 typically have
15:35.92 you know weekly or maybe bi-weekly
15:37.92 touch-based meetings with their
15:39.28 teammates
15:40.88 and
15:41.84 you know those meetings are probably not
15:43.68 going to go away they're they're you're
15:45.12 going to have to have them from time to
15:46.96 time but
15:48.16 you might as well have
15:50.16 an effective meeting and keep it as
15:52.08 short as possible when those meetings do
15:54.16 have to be scheduled so
15:56.16 with the one-on-one view what happens is
15:59.44 you can choose the person who you're
16:1.52 hopping in this meeting with
16:3.92 and the system looks across all of your
16:6.96 shared projects and what it does is it
16:9.28 says okay erica here's all of your
16:11.84 shared priorities between yourself and
16:13.92 this one person
16:16.00 so again this would be the idea of
16:18.80 a manager creating a task and delegating
16:21.92 it to one of their teammates
16:23.92 or a teammate creating a task and adding
16:27.20 the manager as a follower or delegating
16:29.52 it to them to really grab their
16:31.12 attention
16:32.48 so it's really any priority that's
16:34.16 relevant between a manager and this
16:35.76 other person
16:37.52 and with all of that being said you can
16:39.28 even create a shared task and so we'll
16:41.44 just say new shared tasks due in six
16:43.92 hours
16:45.36 it's automatically shared
16:47.28 you can prioritize it into the correct
16:49.28 project
16:50.88 into the correct quadrant and when we go
16:53.44 ahead and hit add we're going to see
16:55.36 that this is now added to our shared
16:57.12 priority list so what's really special
16:59.84 about this now is when we're ready to
17:2.40 provide a status update or circle back
17:4.96 and see where we are at with this task
17:7.68 very easy to find
17:9.36 notifications are being sent for these
17:11.12 progress updates
17:12.64 and nothing is slipping through the
17:14.32 cracks again without a manager having to
17:16.80 pester or ask for status updates
17:20.00 there's that two-way street of
17:21.36 communication immediately available now
17:23.76 through this task
17:29.92 one more best practice that i always
17:31.52 like to share with people is
17:34.48 the concept of actually being able to
17:36.96 prioritize
17:39.04 a chat through microsoft teams
17:42.08 and the reason i bring this up is simply
17:43.92 because of a common piece of feedback
17:45.84 that i've been getting over the past
17:47.20 several years
17:48.88 which is the idea of a teammate and a
17:51.68 manager using a microsoft teams chat to
17:54.48 communicate
17:56.00 but the struggle of these
17:58.08 comments being kind of lost in space
18:0.40 and having a tough time sharing progress
18:3.04 updates
18:4.08 once this comment is kind of out of view
18:7.12 so
18:7.92 now what you're able to do is you can
18:9.68 actually grab a comment
18:11.52 and you can prioritize it directly into
18:14.00 your priority matrix
18:16.00 so this would allow you to feel
18:17.52 confident still using the microsoft
18:20.08 teams chatting platform to communicate
18:22.24 when needed
18:23.44 but when something sparks your interest
18:25.36 and pops up and you think hey this is
18:27.20 really important we need to keep track
18:29.04 of it and i need to share status updates
18:31.68 on this
18:32.96 grab that comment put it into the
18:34.64 correct project and throw a deadline on
18:37.12 there so you don't forget about it and
18:39.20 now you can rest assured that again
18:42.00 priority matrix will be providing that
18:44.64 central space for communication and
18:46.48 status updates
18:48.08 on everything chats
18:50.56 emails that you prioritize you know
18:52.48 anything that you need to share updates
18:54.48 on with your manager you can do it now
18:57.28 directly through priority matrix

19:46.16 it takes the stress out of having to go
19:48.16 to your email or schedule another
19:50.16 meeting you have that in just one place
19:54.40 you're going to have stronger
19:55.52 communication and that's the difference
19:57.60 between hitting and missing deadlines

20:2.16 nothing is slipping to the cracks and
20:4.00 everything is on par with the due date
20:6.16 again by seeing this all in one place
20:9.04 you're gonna be able to make sure you're
20:10.88 not missing any deadlines

21:15.12 received what type of feedback have you

21:26.48 across their teams
21:29.52 yeah katrina that's a really good
21:30.96 question and we
21:33.04 constantly receive incredibly positive
21:35.76 feedback from our managers and teams
21:38.16 that are using priority matrix
21:40.40 especially in terms of the one-on-one
21:42.88 view it's um it's actually really
21:46.16 amazing to see how the supports managers
21:48.64 because you know a common piece of
21:51.04 feedback that i was always receiving was
21:54.08 you know i'm having these ongoing
21:55.84 meetings with my teammates and they take
21:58.88 a long time and we're constantly going
22:1.44 to our emails to try and find our
22:3.20 previous communication constantly
22:5.12 digging through
22:6.48 channels and chats to figure out what we
22:8.64 even need to be talking about on these
22:10.48 meetings
22:11.68 and the one-on-one view pretty much
22:13.36 diminishes the need to manually prepare
22:15.76 for these meetings
22:17.76 again because it shows you all of your
22:19.44 shared priorities that have hopefully
22:21.68 been you know tracked in priority matrix
22:23.92 over the past several weeks
22:26.40 and then
22:27.44 another really important aspect of this
22:29.68 is which i kind of touched on is the
22:31.44 idea of being able to
22:33.68 prioritize a task during these meetings
22:36.96 and so again a really common struggle
22:39.68 that i heard was
22:41.28 you know after these meetings my
22:42.72 teammates still don't really know what
22:44.48 they need to be working on and then we
22:46.88 have to have a conversation or another
22:49.36 meeting to refresh on that
22:51.76 but when you can create these shared
22:53.36 tests during the meeting
22:55.12 you know everybody's on track everybody
22:57.20 knows what they need to work on
22:59.20 right after the meeting ends
23:1.68 so that would be you know kind of the
23:3.76 two most common pieces of feedback that
23:6.40 i'm getting
23:7.76 and then also it's kind of an
23:9.04 interesting aspect which is
23:11.28 if you think of kind of a middle
23:12.80 management role using priority matrix
23:16.00 those people have a lot on their plate
23:17.92 they have to manage their teammates and
23:20.00 then likely they also have to provide
23:21.76 status updates to their direct reports
23:24.72 but a lot of the times when we can get
23:26.72 kind of three or four levels of users in
23:29.36 priority matrix
23:31.04 maybe from the director level to middle
23:33.44 management all the way to the individual
23:35.12 contributors
23:36.56 there's
23:37.60 so much visibility that you know
23:40.08 hopefully everybody's kind of on the
23:41.60 same page at the same time
23:43.60 with all the priorities aligned no
23:45.84 matter what
23:47.28 so hopefully that kind of answers your
23:49.04 question and provides a little bit more
23:51.20 insight
23:54.88 and actually that's
23:57.20 that is a really good question and i
23:58.72 wanted to share one thing with you all
