12.52s collaborative goal setting and one of
14.48s the reasons I bring this up is because
16.04s pry Matrix works really well for
17.96s individuals but it works even better
20.00s when you're actually using PR Matrix
21.72s with a team and sharing your goals with
24.48s each other and ensuring that everyone um
26.76s is on the same page

35.88s the Eisenhower Matrix which is you know
38.24s the the core behind uh our software and
41.28s then how to use pry Matrix for setting
43.00s team goals and then how to use the
44.88s collaborative features in PR Matrix and
47.00s then lastly to provide you some tips on
49.24s how to track progress and readjust
51.20s priorities I do want to emphasize that
53.72s at the end of the day how you use prot
56.68s Matrix is really um the key to your
1:0.48 success you know there's many ways to
1:1.88 use a software but what I want you to
1:4.52 walk away from today's meeting is that
1:6.28 you'd be excited about how to actually
1:8.80 keep your team aligned and that you
1:10.32 become more effective and productive
1:12.76 without putting in more work um so if
1:15.44 you can get that sense from today's call
1:18.16 then you know I would have done my job
1:19.60 properly but if you have any questions
1:21.32 or doubt it it is a perfect time to
1:23.96 bring up those questions to me right

1:28.36 email so what is PR Matrix so it's a
1:31.32 comprehensive email priority and project
1:33.64 management software that helps at three
1:35.72 different levels at the individual level
1:37.60 it helps you prioritize your most
1:39.16 important tasks and emails and that's
1:40.88 what promatrix really started at a long
1:42.92 time ago more than a decade ago what
1:45.32 happens though is that once we help the
1:47.84 individual prioritize their task and
1:50.00 their emails we realize that if you're
1:52.04 able to go and take that same priorities
1:54.56 and communicate it to your team members
1:57.04 then it helps everyone be on the same
1:58.60 page uh one of the things I want to
2:0.68 highlight is that you can imagine patrix
2:4.08 as something that as a communication
2:6.68 tool that ensures that you and all your
2:9.68 co-workers are on the exact same page on
2:12.92 everything that is truly important and
2:15.44 if you're able to use party Matrix at
2:16.96 the team level at the organizational
2:19.04 level party Matrix delivers even more
2:20.96 value by creating continuity in the
2:24.44 priorities um in the task and ensuring
2:26.92 that you know when you have a new team
2:28.28 member come in they get a complete
2:31.00 understanding of exactly what everyone's
2:33.52 priorities are at any point in
2:36.48 time so let's start with the fundamental
2:39.24 concept behind prot Matrix there's a
2:41.08 famous quote attributed to former
2:42.44 President Eisenhower what is important
2:44.60 is seldom urgent and what is urgent is s
2:46.68 of important and what I really like
2:48.28 about this quote is that it helps us
2:50.36 understand and categorize the task that
2:52.28 we have to do right um if you're like me
2:54.80 you know in the morning guess what the
2:56.08 one of the first thing you do is you
2:57.52 check your emails and guess what you
2:59.16 prob had got a lot of emails um are they
3:1.64 important probably not but guess what
3:4.36 you end up looking at the last email in
3:7.24 first and that's what happens in our
3:9.48 society and in our the way that we do
3:11.52 our work the last thing in is the first
3:13.88 thing out and so um in fact if someone
3:17.24 pings us over and over again as in they
3:19.16 send us emails over and over again or
3:21.20 they send us messages in these
3:22.64 communication software over and over
3:24.20 again the more they do that the more
3:26.40 we're we're inclined to actually respond
3:28.48 to them right and that should not be the
3:31.08 way um we work we should be focused on
3:34.48 the important stuff not the Urgent stuff
3:36.44 and so what I like about this quote is
3:38.40 it actually breaks up the tasks that we
3:41.00 have so instead of actually having one
3:42.84 long list of the things you have to do
3:44.80 instead you use What's called the
3:46.08 Eisenhower matrix it's a simple powerful
3:49.08 time management framework that
3:50.72 essentially takes the task that we have
3:52.92 and categorize into four distinct
3:55.20 buckets you can think of the buckets as
3:57.84 important and Urgent important but not
4:0.28 urgent urgent but not important and then
4:2.72 not important and not urgent um and what
4:4.84 it does really well is that it helps us
4:6.76 prioritize our task and makes it visual
4:9.68 it makes it explicit where our
4:12.28 priorities are and so this is what it is
4:14.60 at the personal level and so when you
4:16.28 use pry Matrix what happens is we've
4:19.52 taken that Eisenhower Matrix and we've
4:21.24 implemented in such a way where we make
4:23.36 it very Visual and very easy for you to
4:25.16 see exactly what it is that you need to
4:26.72 work on so then the important urgent
4:28.60 task that's a do now and then the
4:30.44 important but not urgent are the things
4:31.88 that you plan for that's quadrant two
4:33.92 and then the things that you can
4:34.88 delegate are the things that maybe are
4:36.52 urgent but not necessarily important to
4:38.40 you so maybe someone else can do that
4:40.36 job or somebody else um can actually
4:43.08 leverage their resources to do that
4:45.28 better than you can and then lastly you
4:47.32 shouldn't have anything that's not
4:48.52 important not urgent so instead uh we
4:50.96 call that the inbox so that's the the
4:52.96 catch all everything that comes in goes
4:54.64 in there and then you decide where to
4:56.36 put it so this is the Eisenhower Matrix
4:59.24 at the personal level now here's where
5:1.40 it's really interesting what if we take
5:3.28 the same concept the same dimensions of
5:5.88 importance and urgency and extend it to
5:8.64 team goals and so prod Matrix itself is
5:11.28 a very flexible software and so one of
5:13.32 the things I want to show you today is
5:15.08 how you can adap party Matrix to work
5:16.88 the way that you want to work and the
5:18.84 way that your organization works and the
5:20.56 way that um your team members will work
5:22.52 so then everyone's actually benefiting
5:24.32 from the software so I can actually go
5:27.24 and adjust party Matrix and instead of
5:29.72 using the the dimensions of importance
5:32.28 and urgency I can look at the dimensions
5:34.72 of
5:36.36 impact uh and and so instead uh on the
5:40.28 top left the do now are the high impact
5:42.76 goals and then the top right are um high
5:46.60 impact low effort quick wins and then
5:49.32 what are the risk that I have and then
5:50.76 catch all again as that's my inbox so
5:53.40 one of the takeaways that I want you to
5:55.64 have today when you start to use produ
5:58.32 Matrix or if you're already you know
6:0.32 very proficient at it and you're taking
6:2.00 prod Matrix to the next level which is
6:3.92 to think about how to take the task that
6:6.28 you have and break it into these various
6:8.64 Dimensions that make sense so when you
6:11.04 think about the team aspect of
6:14.28 promatrix it BS down to communication
6:17.88 and um an analogy that I have that that
6:20.64 I really like is if you think about the
6:22.88 eyes andhow Matrix right so imagine
6:25.36 right now you take out a piece of paper
6:27.28 you write down the 15 15 things you have
6:29.68 to do and then you put into those
6:31.44 buckets that that we talked about hey
6:33.44 these are my important urgent tasks
6:34.92 these are my important but not urgent
6:36.20 tasks this is sort of everything else so
6:38.20 you do that exercise so now you have a
6:39.84 matrix and on that Matrix you have
6:41.52 everything that you have to do now ask
6:43.40 your co-workers to do the same thing um
6:48.68 after that walk around the office and
6:51.08 start comparing notes you go to your
6:52.88 manager and you tell your manager hey by
6:54.76 the way these are my priorities what do
6:56.40 you think you know are we on the same
6:57.88 page and then take a look at your
6:59.60 manager priorities then take a look at
7:1.00 your direct reports priorities and so on
7:3.56 and so on so the magic of pry Matrix is
7:7.32 really
7:8.96 around ensuring that you take all these
7:12.16 things that's in your brain and making
7:13.88 it explicit making it clear to everybody
7:17.52 else um what your priorities are and so
7:19.72 that's how you can actually be aligned
7:21.80 so a couple of things when we talk about
7:23.68 goal setting here's some strategies that
7:25.60 I want to mention um one you use the
7:28.20 smart framework which which means
7:30.08 whatever goals it is that you set for
7:31.80 your team should be specific measurable
7:34.56 achievable relevant and time bound so if
7:37.32 you think about that you know when you
7:39.64 use promatrix to plan things out keep
7:42.48 that in mind so when you put in the task
7:44.84 and when you set uh the due dates and
7:47.44 and all that and categorize them into
7:49.12 the various buckets that's a framework
7:51.92 that's very helpful uh and then second
7:55.08 think about time shortterm and long-term
7:57.88 goals so it's not just about you know
7:59.92 measuring the stuff that um or achieving
8:2.12 the things that you want to do this week
8:3.72 or this this quarter it's about
8:5.60 achieving the things you want to the
8:7.32 things you want to achieve next year or
8:9.24 in five years and ensuring that your
8:11.36 short-term goals are actually working
8:12.84 towards that and then also remind
8:15.68 yourself on why you set up the longer
8:17.72 term goals and so for me personally what
8:20.04 I love about patrix and and my goals
8:22.92 project is that I can look at it on a
8:25.16 daily basis and then it reminds me okay
8:27.48 you know what this is what I need to
8:29.04 work on and then not only that I can
8:31.12 actually set reminders in Prometrics so
8:33.64 then I don't forget my long-term goals
8:36.44 that's one of the challenges that a lot
8:38.32 of us face it's not that we don't set
8:40.24 good goals um and it's not that we uh
8:44.00 don't know that our goals are important
8:45.80 we do it's just that there are so many
8:48.56 things that's on our plate at any point
8:50.92 in time and so they start crowding out
8:53.64 the truly important stuff and so uh one
8:56.32 of the strategies I'll show you today is
8:58.68 how to use our reminder system to ensure
9:1.32 that you work on those long-term goals
9:3.44 and then lastly use anti-g goals to set
9:5.72 boundaries and so this is actually not
9:7.24 specific to promatrix itself but what I
9:10.20 like about the anti-g goals um and using
9:12.92 the promatrix system for tracking it is
9:15.00 that it makes it again explicit so when
9:16.92 you look at it you're reminded of your
9:18.64 goals but also the things you shouldn't
9:20.44 do or wouldn't
9:23.08 do a couple of things um that I want to
9:26.04 highlight before I actually walk walk
9:27.84 you through the product and all that uh
9:29.88 these are some key ideas and tips that
9:31.68 you know so Snippets for you to think
9:33.24 about as you use pry Matrix you know
9:35.72 today this month this year and you know
9:38.40 this decade for lack of better words one
9:41.08 always keep in mind that if everything
9:42.64 is important and Urgent then nothing is
9:44.60 important and Urgent this is extremely
9:46.96 crucial for managers so you know um
9:49.72 you've probably had managers where
9:52.04 everything is on fire right so he like
9:55.20 you got to do this right now um got to
9:57.64 get it done and then 2 minutes later
9:59.20 this something new that you got to get
10:1.12 done right now if you do that it's not
10:3.04 going to work um and if you do that to
10:5.04 your direct reports that's not going to
10:6.64 work either so if everything's important
10:8.76 and Urgent then nothing's important and
10:10.16 Urgent instead when you write it down in
10:12.12 a PR Matrix just keep that in mind we
10:14.48 know that priorities shift just you know
10:17.84 if you're constantly firefighting and
10:19.64 everything is in quadrant one then
10:21.64 you're not going to achieve the things
10:22.76 that you want to
10:23.80 achieve the second tip is to regularly
10:27.08 review and update your task
10:28.44 prioritization now there are people who
10:30.96 use promatrix on a daily basis as in
10:34.20 every single hour they're looking at
10:35.60 promatrix they're creating tasks they're
10:36.96 delegating then there are people who use
10:38.60 patrix on a weekly basis which means
10:41.00 they go in and look at the things they
10:42.56 want to achieve this week and all that
10:44.36 and then there's people who use pry
10:45.48 Matrix on a monthly or quarterly basis
10:47.72 where they look at pry Matrix as just a
10:49.96 much broader system to make sure that
10:53.36 they're going in the right direction as
10:55.40 opposed to the Daily execution so how
10:57.76 you use py Matrix is really up to you
11:0.68 but keep a good Rhythm so what I want to
11:3.36 recommend to you all of you here is that
11:6.60 when you think about using patrix just
11:8.76 make sure that you set those recurring
11:11.24 um a recurring um date or whatever where
11:14.76 you know what on Monday morning is when
11:16.72 I check my patrix I need to look at my
11:19.00 goals I need to look at my task I make
11:21.36 need to make sure that you know my
11:22.56 co-workers on the same page the third
11:25.60 tip is to identify and eliminate time
11:27.76 wasters and so this is actually
11:30.08 relatively generic but it's one of those
11:31.92 things where I personally feel is
11:34.44 extremely important uh you know again
11:37.56 for for me and I'm sure for many of you
11:39.92 I just there's just a lot of things
11:41.24 that's on my plate there's too many
11:42.68 things in fact and so being able to go
11:44.72 and say you know what these are the
11:46.88 things I'm going to do and these are the
11:48.08 things I'm not going to do let's just
11:49.72 you know um don't have these unnecessary
11:52.16 meetings just to get alignment instead
11:55.20 spend five minutes looking at part
11:56.80 Matrix and see if your co-workers is on
11:59.48 the same page as you if you are what's
12:1.64 the point don't have that meeting if
12:4.04 there's disagreements that's when you
12:5.68 have a a meeting but don't talk about
12:7.72 everything just talk about the things
12:9.04 where you do have disagreement so that's
12:11.16 that's a a tip that I think is extremely
12:13.40 powerful and it's a way for you to gain
12:14.96 back your time learn to say no to tasks
12:18.00 that don't align with your goals and
12:19.08 priorities the key here is to make sure
12:21.12 that you know what your priorities and
12:22.56 goals are in the first place right so if
12:24.64 your manager assigns you a goal or a
12:26.80 task in pry Matrix and again you have
12:30.08 your quadrant one is maxed out that's
12:32.72 when you push back and you say you know
12:34.28 what I I know you're assigning me this
12:36.00 and I know this is important but if
12:37.72 we're this what are we taking out and so
12:40.48 that's a thing that um I think a lot of
12:42.20 us don't do enough we just take on more
12:43.92 and more things and we don't say no
12:45.56 enough times make sure you break large
12:47.80 tasks into smaller manageable steps um
12:50.24 as I mentioned how in patrix you know
12:52.96 people use it in different ways again on
12:55.32 the daily basis the weekly basis or the
12:57.04 monthly quarterly basis you can Al use P
12:59.76 Matrix at different levels so for
13:1.64 example uh some people use P Matrix to
13:4.00 track every single task that they have
13:5.88 so for example you might use prod Matrix
13:9.00 for sales and marketing um and in this
13:11.68 case of sales you might have every
13:13.56 single customer that comes in you have
13:15.84 all the tasks that you have to do for
13:17.72 them and you're inviting team members
13:19.36 that they're on the same page right or
13:21.72 you might use prod Matrix at a much
13:23.40 broader level so imagine if you're at
13:25.24 the executive level and you're looking
13:27.12 at just broad goals and so in that case
13:29.80 you're looking at these task or quote
13:32.64 task in PR Matrix but really what they
13:35.44 equate to is actually whole generic
13:37.92 strategies and initiatives that someone
13:39.80 else has to take so when you look at
13:41.84 patrix also think about how do you want
13:44.40 to use it at the the you know
13:46.20 micromanagement level or at the broader
13:48.44 strokes and the cool thing is you can
13:50.16 use protom Matrix in both ways use time
13:53.28 blocking to uh allocate specific time
13:55.84 slots for different tasks this is a very
13:58.28 very powerful strateg to ensure that we
14:0.32 work on the most important task because
14:2.84 otherwise the urgent things will take
14:4.48 over so that's how you overcome the
14:7.44 urgency uh trap and then lastly
14:10.32 regularly reassess and adjust your
14:12.48 strategies based on results I'm not
14:14.24 going to claim that prod Matrix will
14:15.84 solve all the problems that you have in
14:17.80 terms of privitization and so forth but
14:20.96 the capability of patrix and the
14:22.84 customization around patrix and um the
14:26.84 Eisenhower Matrix in general is just so
14:30.24 powerful uh as a way to to communicate
14:34.72 your priorities that you know by by just
14:37.28 adjusting how you use it it will work
14:39.24 the way that you work and that's the
14:40.92 most important
14:42.80 part okay so the four quadrant isow
14:45.36 Matrix creates alignment because it
14:47.00 forces you to prioritize from the
14:49.08 beginning um you have probably used so
14:51.32 many task management software before you
14:53.20 probably have your task list you have
14:54.84 your notebook with all the things you
14:56.12 have written down on it and a lot of us
14:58.32 do that the difference is by using
15:0.92 patrix you have to put things into those
15:2.96 four quadrants uh it's very
15:5.48 very hard to make that those choices and
15:9.60 decisions early on but that's why it's
15:12.16 important and then when it comes to
15:13.80 goals success from using promatrix is
15:16.48 just as much about identifying what you
15:18.00 need to work on every day as identifying
15:20.76 what you should not work on every day so
15:22.60 I hope that you know when you walk away
15:24.40 from this webinar even if you don't use
15:26.28 promatrix and then that's perfectly okay
15:28.64 um but if you walk away from this
15:30.00 webinar and you think about the task
15:31.56 that you have to do just think about
15:33.72 okay where do I want to spend my time
15:35.16 and where do I not want to spend my time
15:36.96 so I uh want to go and emphasize that
15:39.60 you know I'll try to show you how to
15:41.92 actually put this into
15:45.40 practice this webinar along with all my

16:4.32 setting so that's where we'll spend our
16:7.40 time all right let's go into a demo of
16:10.04 PR Matrix and how to put this into
16:12.44 practice so what you see now is actually
16:15.40 my PR Matrix um on the web app so in
16:18.04 this demo account I have a lot of
16:20.12 different things that I want to show you
16:22.00 first I'm going to start with my
16:22.96 personal priorities and so if I go to my
16:24.56 personal priority project on the left
16:26.72 hand side here these are my lists of
16:28.56 this is the the list of projects that I
16:29.96 have so you can think of projects as
16:32.36 anything from actual project to goals to
16:37.04 um things that are transient or things
16:38.64 that are persistent so let me explain
16:39.96 the difference imagine if you are
16:42.48 responsible for an
16:44.12 initiative well that initiative might be
16:46.76 to grow um your sales pipeline by
16:49.92 25% this year right that's a transient
16:53.28 project it has a start it has a
16:54.64 beginning it has uh an end and so that's
16:57.56 a transient project you might have a
16:59.32 different project that says these are
17:1.16 all the product features that we want to
17:2.64 build for a specific product within our
17:4.76 company well that's an NeverEnding one
17:7.20 so in our organization we have
17:9.60 persistent projects for every single one
17:11.64 of our software applications so we have
17:13.96 our apps for iPhone for Mac for Windows
17:17.64 um and so forth and so those things
17:19.12 never go away so when we track the
17:20.84 priorities and so
17:22.36 forth that information persists forever
17:25.12 right so on the left hand side here um I
17:28.08 have a decent number of projects in My
17:29.48 Demo account here a few dozen in my
17:31.40 actual work account I have more than 300
17:33.60 projects so I want to let you know that
17:35.44 don't be scared of creating projects as
17:38.12 long as it helps you organize your
17:39.88 information um a couple of strategies
17:42.08 that I want to recommend in terms of
17:43.80 creating projects one you should always
17:46.56 have a project for personal priorities
17:48.84 this is so important because this is
17:50.32 about you right you need to know what it
17:52.64 is that you need to work on what you
17:54.32 want to work on um and the personal
17:56.64 priorities could be both for work as
17:58.56 well as as for personal life that's
18:0.04 totally up to you and you can create
18:1.40 different ones as needed the second
18:3.40 project you should have is what's called
18:4.76 team priorities and so this is the um
18:7.80 information that I showed you earlier
18:9.68 how in uh instead of actually do now do
18:12.28 later this quadrant name is actually
18:14.08 different high impact goals quick wins
18:16.24 risk mitigation and catchall and so in
18:18.60 this particular case for this project I
18:21.00 might have additional team members
18:22.36 associate with it so what that means is
18:24.76 if I have a team priority project I
18:27.04 should have if I'm a manager I should
18:29.04 have my direct reports if I have a
18:31.76 manager who's um sharing priorties with
18:34.40 me I might be in his or her project
18:37.76 along with all my other colleagues uh to
18:40.12 be sure that I'm on the same
18:41.84 page and one of the other things you can
18:44.12 see here is I also have projects for my
18:46.16 personal goals um I also have projects
18:49.00 for uh Q3 goals Etc so those are the
18:52.32 various types of project that you can
18:53.68 have so let me show you an example here
18:56.52 now with my team priorities here on the
19:0.08 right hand side is What's called the
19:1.56 project details the project details
19:3.68 tells me a couple things one who's in
19:5.68 this project with me so again if you
19:7.64 have a team priority project then you
19:9.64 should consider who are the people I
19:11.40 want to be I want to have in this
19:13.04 project if I click on this plus icon
19:15.16 then I can invite additional people as
19:16.84 needed everyone who's in this project
19:19.36 will be on the same page that's the key
19:22.00 right so instead of having a team
19:24.40 meeting a staff meeting just to be aine
19:28.04 and talk about your goals instead anyone
19:31.04 can open their team priority project at
19:33.32 any point in time take a look at it and
19:35.48 see okay you know what these are the
19:37.44 goals that we have these are the tasks
19:39.28 that we have I understand uh what
19:41.88 everyone's working on and I understand
19:43.44 what I'm working on and I don't have any
19:45.36 disagreement and then when you do have
19:47.20 disagreements that's when you can bring
19:48.64 it up and say hey why are we working on
19:50.60 this and not this right and that's the
19:52.80 key so uh be cognizant about who you
19:56.00 have within these projects but and make
19:57.84 sure that you have all the relevant
19:59.68 stakeholders within each of your team
20:2.48 priority projects and then below that
20:5.04 you actually have the quadrants as I
20:6.96 mentioned now in prot Matrix the
20:8.84 quadrants are completely customizable so
20:11.48 I changed do now to high impact goals
20:13.56 and you can click on here and change the
20:15.24 name as you use prod Matrix more and
20:17.36 more you'll find that you know you want
20:20.24 to change the name of these quadrants to
20:22.08 things that make sense to you so we have
20:24.44 General recommendations but at the same
20:26.76 time your specific use case
20:29.16 matters the most and then you can also
20:31.52 change the color so if you click on this
20:33.12 icon right here you can use a different
20:34.88 color coding um to represent the
20:37.28 quadrants themselves why do you want to
20:39.24 do that it's just a matter of
20:40.80 visualization so for some people you
20:42.72 know when they see green they see red um
20:44.92 or various other colors it represents
20:46.80 different meaning to their team or their
20:48.72 organization and then at the same time
20:51.12 you can think that you can use these
20:53.00 colors as themes so then you can look at
20:55.80 the leftand side and see okay these are
20:57.84 all my team priority project priorities
21:0.56 uh projects and then these are all my um
21:3.36 projects related to my clients my
21:5.40 customers
21:6.96 Etc okay now let's talk about task in P

21:11.76 task in part Matrix is actually very
21:13.44 very straightforward you see how when I
21:15.36 hover over each quadrant there's a
21:17.08 little add icon that pops up here so I
21:19.56 can go ahead and click on add item here
21:22.32 and then one of the tasks that I have to
21:23.80 do for example would be follow up with
21:26.36 webinar participants Okay so a very
21:29.16 straightforward task that I have uh if
21:31.28 you don't know this already but PR
21:32.56 Matrix uses what's called natural
21:34.00 language and so what that means is that
21:36.24 when I create this task one of the
21:37.56 things I want to do is I can say do
21:38.84 tomorrow at 2 pm so when I create this
21:42.32 task right here our system automatically
21:44.68 interprets due tomorrow at 2 p.m and
21:46.92 create the due date for you using that
21:48.72 natural language now this is a personal
21:51.64 task but imagine if I actually need to
21:53.80 delegate it to a coworker it's actually
21:55.80 very straightforward I can actually
21:57.08 click on this icon right here and
21:59.44 sign to another person and so now
22:2.08 someone else is responsible for this
22:4.00 task but I'm a follower so when you
22:6.88 think about team teamwork and
22:9.80 collaboration um you know someone might
22:12.84 be doing the job but if you're the
22:14.92 manager you might want to know if that
22:17.84 work has made progress right um so if I
22:21.04 assigned this task to Eugenia I want to
22:23.00 know that hey Eugenia got it done or if
22:25.92 she missed the deadline or she said a
22:28.52 due dates or she set a reminder um and
22:30.92 it got missed or didn't Trigger or we
22:33.00 have to reassign to somebody else and so
22:36.00 a follower is someone that will get
22:37.88 updates and um and alerts on the changes
22:42.08 to this task so that's one thing to keep
22:43.76 in mind when you think about how you're
22:45.84 using promatrix in a team environment so
22:48.40 if you're a manager and there's a a very
22:50.52 important task that you see then you
22:53.40 want to make sure that you click on this
22:54.68 plus icon and add yourself to it so then
22:57.24 you'll get updates for it next to that
22:59.32 you have progress effort reminder and
23:1.00 dates um I you know can't emphasize
23:3.76 enough how important it is to actually
23:5.56 set the due date and the reminders for
23:7.60 all your tasks and there's a big
23:9.56 difference between due dates and
23:10.80 reminders due dates is when it's due but
23:13.28 reminders is a way to make sure that
23:14.96 it's top of mind so let me give you an
23:17.44 example let's just say you have a very
23:19.84 very important task that you need to
23:21.36 work on and it it's going to take you
23:23.36 seven days of work right you set a due
23:25.64 dates on the actual final day where it's
23:27.44 due now that day comes and you hadn't
23:30.60 gotten started yet so there's no way you
23:32.56 can do seven days worth of work in one
23:34.56 day instead what you want to able to do
23:37.12 is you want to actually set a recurring
23:39.00 reminder ahead of time and so down here
23:41.76 you can actually click on reminder and
23:43.60 then set the reminder to get started
23:45.56 prior to that but I can also use natural
23:48.84 language and petrics to set that
23:50.44 reminder so down here I can say remind
23:52.80 me daily so now on a daily basis the
23:56.28 application will send me a reminder to
23:58.04 make sure I work on this task but since
24:0.40 we're talking about a team environment
24:2.08 it's not just about you instead you can
24:4.12 say remind
24:6.16 everybody daily and so now not only do
24:9.56 you get the notification but also your
24:11.68 coworker as well so when you think about
24:14.08 team collaboration and and making sure
24:16.56 that everyone's on the same page setting
24:18.80 these reminders that pings every single
24:21.40 person on the most important task is a
24:23.84 very very powerful approach it's the way
24:26.56 to keep it top of mind
24:29.12 because always be cognizant that you
24:31.28 know on everyone's plate they just have
24:33.00 a lot of things they have to do a lot of
24:34.76 new things are coming in at any point in
24:36.36 time if it's not top of mine it's going
24:38.84 to be forgotten make that assumption and
24:40.88 so when you use patrix think of
24:43.16 reminders as a way to
24:45.52 overcome um all these urgent trap that
24:49.08 we have right all these things that's
24:50.48 coming in and and taking our attention
24:52.84 away okay so down here I have the chat
24:56.08 section this is where you saw how I
24:57.80 typed some m mes um to uh set commands
25:1.72 and all that but at the same time it's
25:4.00 the place where you guys can communicate
25:5.64 to each other so Eugenia can open her
25:8.36 task in PR Matrix and can respond to
25:10.88 this and she could ask me hey could you
25:13.04 clarify or could you uh upload the list
25:16.24 of attendees so I can follow up with
25:18.36 them Etc so that's what this place is
25:20.44 for and so you can have
25:23.20 communication though it's communication
25:25.28 within context so what that means is
25:27.92 that uh everyone here is on the same
25:30.76 page with respect to this task in
25:33.40 particular so as an example so let's
25:37.20 just say if you use Microsoft teams or
25:39.20 slack and you're talking to your
25:41.20 coworker and you're talking about so
25:42.64 many different things at the same time a
25:45.84 month from now when you need to go back
25:47.92 and review the status of task sometimes
25:50.80 you start forgetting like hey what did
25:52.48 we talk about um what did we say we were
25:54.84 going to do right and so you can imagine
25:56.92 how you can actually lose contact very
25:58.92 very easily if you're not on top of that
26:1.52 by using PR Matrix and by using this
26:3.72 chat system you're able to communicate
26:6.44 and be on the same page and within the
26:9.04 context of this task then later on
26:12.40 imagine you know in a month or two
26:14.36 months and I need to assign this task to
26:16.44 another person so now let's say I invite
26:18.32 another person to this task guess what
26:20.52 they can open the task and see the
26:22.12 entire history all the conversations
26:24.48 that Eugene Eugenia and I had around
26:27.40 this and they can see okay I see that
26:29.56 you know we set these due dates I I see
26:31.44 that these documents were uploaded and
26:33.04 so on so I want to emphasize how by
26:36.96 using the chat part here in each task
26:40.04 you're actually building knowledge for
26:42.08 your organization and so when you have
26:44.60 an employee that's on leave or leaves
26:47.64 the company completely someone else can
26:49.92 take over the task and know exactly what
26:52.40 they have to do and that's very very
26:54.44 powerful one of the biggest challenges
26:56.68 I've I've seen talking to customer is
26:58.80 that they have an employee who turns
27:0.56 over and someone else needs to take over
27:3.24 the job and they have no context they
27:5.12 don't know the priorities they don't
27:6.60 know the record and the history of all
27:8.76 that but per Matrix makes it possible
27:10.76 for you to review that history so if
27:12.92 you're a manager and you have you know
27:14.68 multiple team members and you're finding
27:16.64 that you have a lot of employees churn
27:18.32 and turnover and all that P Matrix
27:20.44 actually gives you so much value being
27:22.64 able to reassign those tasks to a new
27:24.68 person and then similarly you know if
27:27.68 you're respons responsible for a task
27:28.96 and then you're on leave right you're
27:30.84 out sick or whatever someone else can
27:33.00 actually take a look at the party Matrix
27:34.72 and know exactly what your priorities
27:36.28 are and they don't have to send you five
27:39.00 emails and call you 10 times just to
27:41.92 know what it is that you're working on
27:43.56 so you can think of party Matrix
27:45.24 creating that single source of Truth
27:47.64 across your team and organization in the
27:50.20 notes section here this where you can
27:51.68 add information around the subtask and
27:53.60 all that and then finally in the
27:54.76 resources section is where you can
27:56.44 attach the files the documents the links
27:58.76 for everything that's relevant to this
28:0.60 particular task now anything that you
28:2.40 put here would be accessible to your
28:4.12 team members who's in the same project
28:6.24 as you so what that means is you know if
28:8.44 you have an email that you're assigning
28:10.28 to somebody you can actually go and
28:12.56 upload it into patrix and now your
28:14.72 coworker can open that email and respond
28:16.72 to it as needed okay so that's in a
28:19.56 nutshell is the item details the item
28:21.44 details again is where you can assign
28:23.08 people askas you can set those due dates
28:25.04 you can set those reminders and attach
28:26.84 resources so one of the things I want to
28:28.84 mention now is around collaborative
28:31.20 email management which is a very very
28:33.76 important thing so I am sure that you
28:36.68 get a lot of emails and sometimes when
28:39.84 you get those emails um you know of
28:42.12 course pretty what you want to make sure
28:44.48 you do is you make sure that you work on
28:46.60 your emails first right so as an example
28:49.28 let's say I get an email um I get an
28:52.76 email and I need to prioritize that
28:54.36 email instead of just flagging the email
28:56.76 and Mark it marking as red what I want
28:59.36 to do in patrix is I want to go click on
29:1.92 apps here click on my P Matrix for email
29:4.60 Integrations which is p Matrix turn
29:6.68 email into task click on that choose
29:9.24 prioritize email and now I can con
29:11.64 convert any email into a task and here's
29:15.16 the thing where patrix shines one I can
29:18.96 organize it into specific projects okay
29:21.56 so I can actually go and say you know
29:23.60 what this is in my team priority project
29:26.28 okay and then I can actually say what
29:27.72 quad it goes in is this a quadrant one
29:29.96 important urgent or quadrant 2 three or
29:32.24 four and here's the uh cool and Powerful
29:35.76 part about this email Integrations I can
29:38.36 assign this email to another person so
29:41.72 maybe the email is for me but sometimes
29:44.88 I need someone else to take over this
29:46.36 email and then now I can set a due dates
29:48.72 and suddenly I'm able to organize a task
29:52.08 put in the appropriate project put in
29:54.48 the appropriate quadrants assign it to
29:56.32 the appropriate person and set a clear
29:59.32 due date and that's very very powerful
30:2.20 when you flag an email or when you
30:3.84 forward an email the problem is that it
30:7.24 becomes part of one of many other flag
30:9.60 emails or one of many other forwarded
30:11.64 emails you don't know if your co-workers
30:14.44 are going to be able to see those emails
30:16.08 and actually um address those emails and
30:18.64 then they may not know when it's due
30:20.92 right and so if you're a manager and you
30:22.84 got an email from a client and the
30:25.20 client requires some really immediate
30:27.36 attention and you forward it to somebody
30:30.04 they may not see it because they may you
30:32.12 know it it it'll come in and then 15
30:35.68 minutes later they got three or four
30:37.12 other emails and guess what they look at
30:38.92 the last urgent emails instead of the
30:40.56 emails you forwarded right and so by
30:42.44 using prot Matrix you can actually set
30:44.48 those due dates and assign it in
30:46.16 priorities and so when they look at
30:47.44 their pry Matrix they see oh hey I need
30:49.68 to answer this email and uh and I need
30:52.20 to do it by by this date so this is an
30:55.80 extremely powerful way to assign an
30:58.00 email to a coworker and I hope you take
31:0.40 advantage of it um to get to this all
31:2.88 you have to do is in the in Outlook
31:5.56 simply click on apps and then click on
31:7.72 the App Store and install party Matrix
31:9.92 turn email into task which is our top
31:12.72 Integrations one of the top Integrations
31:14.52 in the Microsoft Outlook
31:16.48 ecosystem so when we talk about
31:18.56 collaboration uh party Matrix also
31:20.68 integrates into Microsoft teams as well
31:23.60 so if you happen to use Microsoft teams
31:26.32 uh at your organization party Matrix is
31:28.12 almost a no-brainer to install in teams
31:30.32 so if you go to apps down here you can
31:31.92 search for p py Matrix you can pin it uh
31:35.08 and then once you pin it what happens is
31:36.96 you get access to the entire patrix
31:39.28 application inside teams and the reason
31:42.48 why I want to emphasize this um for team
31:45.28 collaboration is because you're probably
31:47.32 spending so much time talking to each
31:49.12 other in teams already by adding protom
31:51.68 Matrix you're actually able to bring up
31:53.32 that information that you need in real
31:55.40 time so let me show you how that works
31:57.32 now I can access my P Matrix here right
31:59.80 this allows me to get to all my projects
32:1.52 all my tasks but what I can also do is
32:5.56 actually I can go to my coworker click
32:8.32 on this plus icon here choose part
32:11.04 Matrix and actually choose what's called
32:13.08 the one-on-one view so the way it works
32:15.68 with the one-on-one view is it actually
32:17.84 allows me to see all the tasks I have in
32:19.96 common with my coworker and I'll show
32:21.56 you how that looks I have that install
32:23.52 here for Eugenia and when I open this
32:25.88 you can see how I can actually see all
32:28.28 the task I have with Eugenia across my
32:30.76 entire PR Matrix and so when I talk
32:33.08 about team prioritization and making
32:35.92 sure that I'm on the same page as my
32:37.68 co-workers when I go to teams Microsoft
32:41.04 teams and I have this one1 view for
32:43.16 every single person I work with I can
32:45.12 actually just go down the list and see
32:48.00 what it is that they're working on what
32:49.96 are the tasks that they have overdue um
32:52.80 and then the progress of each task and
32:56.00 then I can actually create share task
32:58.88 all within this View and it is such a
33:2.76 powerful way and easy way to ensure that
33:6.32 you guys are on the same page you know
33:8.28 one of the challenges that I've seen
33:10.16 over and over again is that someone will
33:12.32 be in a meeting and you know let's just
33:14.84 imagine I'm sure you've probably
33:16.32 experienced this recently you're in a
33:18.04 meeting with a couple of team members
33:20.12 you talk about the things you would do
33:22.12 or the things you want to do and then
33:24.44 everyone agrees hey that's a great idea
33:26.28 let's do it two weeks ler you go back
33:29.40 and then you know ask the status hey by
33:31.68 the way did we end up doing that and
33:33.28 someone's answer will be oh no we never
33:34.80 wrote it down right if you've
33:36.64 experienced that then I'm sure you know
33:39.40 this will benefit you so much because
33:41.48 which part Matrix right when you have
33:43.48 that that moment of epiphany you have
33:45.36 that great idea click on ADD share task
33:49.00 just type the task name real quick and
33:51.44 then you know again um new task that's
33:55.00 awesome doe in two weeks and if you just
33:58.32 do that and you click add what happens
34:0.80 is promatrix will create the task
34:2.96 automatically assigned to your coworker
34:5.96 and set the due date for you and it is
34:8.80 so easy to do that you won't forget um
34:13.04 you know to actually write that down and
34:14.72 so instead of have to open up your
34:17.60 software go to a project create a task
34:20.44 assign it to a person set a due dates
34:22.52 patrix lets you skip that entire process
34:25.32 in one and andot to do this in one one
34:28.40 uh pass so just click on ADD share task
34:31.16 and this automatically automatic
34:32.80 assignments and then using natural
34:34.76 language makes it very very powerful and
34:36.92 in fact you could go down here and
34:38.92 assign it to a specific project too if
34:41.84 needed the other thing that patrix does
34:44.88 inside Microsoft teams is the ability to
34:46.92 integrate with the way that you work
34:48.96 already as well so you know when we talk
34:52.20 about teamwork and collaboration you're
34:54.40 sending messages back and forth in teams
34:56.84 all the time I mean there no questions
34:58.32 around that right and that's how we
35:0.24 communicate so we with per Matrix we
35:3.96 don't expect you to always be in our
35:6.04 system to communicate but let's just
35:7.88 imagine if you and a coworker talk about
35:10.16 some of the tasks that you want to
35:11.08 achieve guess what you can actually
35:13.12 hover over that conversation that you
35:15.80 have with your coworker click on this
35:17.48 ellipses and choose create PM item and
35:21.16 you can actually create a task in PR
35:23.68 Matrix without having to leave Microsoft
35:26.48 teams again this is one of those things
35:28.68 that we do for you to make it easy for
35:31.52 you to actually create task and able to
35:34.28 organize it information and setting the
35:36.84 proper due date with your co-workers and
35:39.52 then not only that part Matrix captures
35:41.84 the exact moment when you had that
35:44.16 conversation so let me give you a simple
35:46.56 example imagine if you and a coworker
35:49.32 are talking about doing something um and
35:53.72 and then you know you create the task
35:55.32 input Matrix and then 6 months later you
35:58.04 want to go back and say hey by the way I
36:0.16 know we are supposed to do this but why
36:2.20 did we say we would do it again guess
36:4.40 what patrix links to that moment in time
36:7.68 when you had that conversation with your
36:9.28 coworker and so you see this this
36:11.16 special link right here we link back to
36:13.60 that moment in time when you said you
36:16.12 know you would do XYZ and so that allows
36:18.68 you to actually pull up and get the
36:20.72 proper context as needed so that's
36:23.52 another example of how prod Matrix
36:25.12 integrates within Microsoft teams um in
36:27.80 fact we're probably the most integrated
36:29.32 system in Microsoft in general and So
36:32.80 within teams itself you can actually add
36:35.36 and share prod Matrix action items by
36:37.44 clicking on this plus icon here and then
36:39.72 choosing prod Matrix you're actually
36:41.08 able to share task and all that one of
36:43.76 the strategies that I have um is that
36:46.48 sometimes I would assign a coworker a
36:48.72 task but they may not see it and so what
36:51.00 I can do is I can go to Microsoft teams
36:53.76 click on this plus icon click on patrix
36:56.68 and then actually attach the task and
36:59.28 send it to them as needed so I want you
37:1.84 to you know try that especially if you
37:4.36 plan on using p Matrix within the
37:6.04 Microsoft ecosystem and especially if
37:8.32 you need to do a lot of task assignment
37:10.12 with your
37:11.04 co-workers okay now I'm going to go back
37:13.44 to prot Matrix for a second here and I
37:15.52 want to talk about how do you know what
37:17.32 it is you need to work on right so let's
37:19.40 just imagine if you and your team
37:21.40 members are on P Matrix how do you know
37:24.12 where to start your day well it's very
37:26.68 very simple when you you open Prometric
37:28.60 there's this thing called the home view
37:30.72 the home view is where you should start
37:33.12 and essentially it has what's called
37:34.92 alerts these are items that require your
37:37.68 attention um so what that means is these
37:40.28 are tasks that were assigned to you
37:42.52 these are tasks where you have a due
37:44.16 dates or reminders that triggered and so
37:46.64 when you work with with others and they
37:49.64 assign you tasks you'll see them here in
37:52.00 the alerts view the other thing that
37:54.52 happens is that when you go to the alert
37:57.28 View you um it shows the things that you
38:0.56 should process and then uh and then get
38:4.24 to inbox zero and so what that means is
38:6.60 that again these are the 59 items that
38:8.92 requires my attention if I come back to
38:11.28 here and I have a lot of tasks that that
38:13.12 I'm mention in but I don't get to it
38:15.52 means I might drop some very important
38:17.32 things but what I can also do is
38:19.52 actually clear all notifications and so
38:21.36 then I'll get to a blank slate then task
38:24.84 that trigger again will show up here in
38:26.80 the alert now let me give give you a
38:28.76 quick um tip regarding reminders that I
38:32.04 mentioned
38:33.08 earlier remember how I said reminders is
38:36.28 a way to trick our brain into working on
38:38.72 those important tasks well guess what
38:41.16 make sure that you set the due dates and
38:43.76 the those recurring reminders for
38:46.12 anything that is truly critical then
38:49.56 even if you go to patrix and you clear
38:51.68 all notifications those recurring
38:54.00 reminders will trigger again so when I
38:56.96 use Matrix one of the things I do for
39:0.04 example if I have a goal for this year I
39:2.72 would go and set a recurring monthly
39:5.44 reminder so let me show you how that
39:6.76 works so if I click on goals in PR
39:8.56 Matrix here right and let's just say one
39:10.60 of my goals to read a business book
39:12.24 every every month I can actually go in
39:14.88 here and set my recurring reminders on a
39:17.08 monthly basis so now every single month
39:20.00 I'll get an alert in my home view here
39:22.48 that says you know read that new
39:24.72 business book that you said you would
39:26.04 read and that's how now I'm reminded of
39:28.92 everything that's actually important to
39:30.64 my work and so similarly if you have
39:33.28 critical tasks um to set those recurring
39:36.04 reminders and you can do that recur
39:38.12 recurring reminders for everybody you
39:40.20 remember how you can say remind not just
39:42.28 me but remind everybody on a monthly
39:45.00 basis and so forth so that's the alerts
39:47.80 view um the other thing you can do is
39:50.32 actually go to the agenda View and this
39:52.52 is where you can see all the tasks that
39:54.20 you and your co-workers have for this
39:56.40 week for today for this coming month Etc
39:59.36 so the agenda view essentially shows you
40:1.40 the task with due dates so I highly
40:3.96 recommend again setting due dates for
40:6.08 anything that's important because when
40:7.96 you go to this view you can see not only
40:10.44 what you're working on but everyone who
40:12.24 works with you what they're working on
40:14.44 and decide hey this seems like the right
40:17.24 thing to work on or this seems like the
40:18.72 wrong thing to work on now if you go to
40:21.44 my items these are tasks that's focus on
40:23.52 you these are things assigned to you
40:25.24 specifically one of the powerful thing
40:27.16 about about P Matrix is the ability for
40:29.08 you to pull whatever information that
40:30.84 you need so on the left hand side here
40:33.56 we have um what's called various Global
40:36.72 views so for example I can go to the
40:39.20 search View and when I go to the search
40:41.32 view it shows me everything I have in
40:44.00 patrix but here's the useful part if
40:46.48 you're a manager and you have a lot of
40:48.00 direct reports you can click on this
40:49.84 filter and then you can say find me the
40:52.60 task assigned to a certain person right
40:57.08 and and what this does now is actually
40:59.04 shows me everything that is assigned to
41:1.52 Remy and then not only that I can
41:3.68 actually go and sort it by du dates or
41:6.44 by other metrics I can actually find the
41:8.72 items that Remy finish I can find the
41:10.88 items that um Remy which quadrants those
41:13.32 items are in so when you use prod Matrix
41:16.16 in a collaborative environment you can
41:17.92 actually generate all sorts of reports
41:19.80 and it is so useful if you're let's say
41:23.16 you're a business owner you have a bunch
41:24.80 of employees working all sorts of stuff
41:27.04 you you can't have a meeting with all of
41:28.56 them you're not able to know what they
41:29.88 all work on but you can just go to PR
41:32.04 Matrix select the person and see what
41:34.36 are the things they finished and you can
41:35.88 actually choose the due dates on when
41:38.12 they finished it and then you know uh
41:40.20 the things they worked on last quarter
41:41.64 last month Etc all in one View and you
41:44.16 can print it out or export it as needed
41:46.64 so it's a way to be on top of everything
41:50.28 that's happening around you without
41:52.96 having to have a meeting just to get to
41:55.36 that alignment because that information
41:56.92 is all available in for Matrix so keep
41:59.28 that in mind in terms of the filter here
42:1.40 the search view is what I used to what
42:3.64 used to be called The Master view
42:5.72 essentially it's the one place for you
42:7.52 to get any information that you need
42:10.00 around your work and your cooworker
42:12.16 work on the left hand side there's a
42:14.24 couple of other views as well so you can
42:16.00 see how um there's the calendar view so
42:18.52 essentially I can see all the tasks that
42:20.12 I have um but that have due dates and so
42:23.24 I can see it across all my projects and
42:25.28 then I have the gantar view and so this
42:26.88 is the global view a across all of the
42:30.20 tasks that I have but on a much larger
42:32.76 time scale so essentially you go to the
42:34.72 calendar view to see the things you have
42:36.24 to work on today or this week but if you
42:39.08 if you go to the Gant chart view you can
42:40.72 see the things that um that you need to
42:42.64 work on across quarters across months
42:45.32 quarters and years and so pry Matrix
42:47.60 actually provide you one view to see
42:49.88 everything that you have to do and who's
42:51.72 it's assigned to and so if you have a
42:53.96 lot of workers or co-workers and you
42:56.28 want to know you what their timeline is
42:58.72 you can actually go to this View and see
43:0.40 the tasks that's assigned to them uh
43:3.44 across many many months right and you
43:5.28 can use the filter system to get
43:7.12 whatever information that you need and
43:9.36 then uh when it comes to managing your
43:13.08 employees as well one of the things
43:14.88 patrix allows you to do is actually
43:16.44 build workload management reports and so
43:18.84 you can actually go to reports here go
43:20.40 to workload reports and you can see all
43:22.60 the co-workers that you have the number
43:24.56 of tasks they have for any point in time
43:26.68 this week this month um and then also
43:29.00 you can actually change the mode to see
43:31.28 how much schedule work they have or uh
43:34.44 how much effort hours they have for the
43:36.72 task at hand because not all tasks are
43:38.40 created equal and so you're able to
43:40.24 actually drill down on each of these
43:41.76 tasks reassign them as needed uh and be
43:44.96 able to make sure that you know your
43:46.68 employees are not overloaded I mean
43:48.60 that's one of the biggest challenges
43:49.72 that we all have which is someone will

44:9.68 do you want me to drop right I can't get
44:11.60 all this done I can't do 70 hours worth
44:14.00 of work in a 40 hour work week so what
44:16.40 are we rep prioritizing what are we
44:17.96 going to shift and so when you think
44:19.72 about PR Matrix it works both ways it's
44:21.80 a way for you to manage your employees
44:23.72 but it's a way for you to communicate to
44:25.64 others your workload at any point in
44:27.44 time as well okay so let me go back to
44:30.84 the home view here last thing I want to
44:32.56 show you um is how you can actually
44:35.12 ensure that you know the people that you
44:36.88 work with um get no proper notifications
44:39.96 so when you choose a task and you have a
44:42.52 task and you send a message here it will
44:44.68 update the alert but one of the things
44:46.16 you can do in particular is you can use
44:48.60 the at here and so if you type at um
44:51.64 then you can actually select the person
44:53.20 and so when you do something like that
44:54.96 what happens is that person will get a
44:57.04 special notification that mentions them
44:59.64 specifically so this is very similar to
45:1.36 a lot of chat software but I want to
45:3.40 highlight that in particular um because
45:5.84 sometimes you know I I get so many
45:8.32 notifications my co-workers really wants
45:10.84 to get my attention they'll do the at me
45:13.84 and then I I'll get that proper
45:15.88 notification okay with that I'm going to
45:18.44 go ahead and go back to my presentation
45:22.48 here so now it's up to you um you know
45:25.60 if you haven't used PR Matrix ready make
45:27.36 sure you sign up for p p Matrix and if
45:29.88 you have um if you use Microsoft make
45:32.64 sure you use our application in teams
45:34.48 and Outlook and then otherwise use our
45:36.88 desktop app so we actually have native
45:39.00 Mac app native Windows app and of course
45:41.04 prod Matrix works on the web at any
45:42.72 point in time so no matter where you are
45:45.04 and then when you create projects I
45:46.56 would create at least three different
45:47.80 projects your personal priority project
45:50.20 your share team priority project and
45:52.16 then a goals project so the goals
45:54.24 project could be either both personal
45:56.04 goals or also your department goals or
45:58.12 whatever that is and then when you
45:59.72 create task and PR Matrix make sure you
46:2.00 set those due dates and make sure you
46:3.60 put them in the appropriate quadrants
46:5.72 and make sure you don't drop those tasks
46:7.24 as I mentioned earlier have a routine
46:9.96 around reviewing your patrix right
46:12.28 either Monday morning or Friday
46:14.28 afternoon or whatever it is you go in
46:16.44 and you look at P Matrix you reassign
46:18.48 tasks you rep prioritize them as needed
46:21.20 and then when you need to have your team
46:23.08 meetings project part Matrix onto the
46:25.68 big screen
46:27.68 um and that will actually help you be on
46:30.08 the same page as your co-workers and
46:32.36 what success should look like with
46:34.08 patrix one on a personal level um you're
46:37.00 checking per Matrix every week to remind
46:38.96 yourself of your goals and then you have
46:41.44 one central place to track your
46:42.88 priorities and then on the team level
46:45.24 everyone understands what everyone else
46:47.32 is working on right so if you ever have
46:51.24 a problem or understanding what your
46:53.72 co-workers are working
46:55.16 on think about how prod Matrix will be
46:58.20 able to communicate to everybody these
47:1.08 are each of your priorities these are
47:3.32 the things you're working on this week
47:5.48 uh these are the things you're working
47:6.56 on this month and and so forth and this
47:9.40 is what quadrant it belongs in and then
47:11.80 lastly at the team level if you have
47:13.60 important emails and you need to triage
47:16.12 them to appropriate team members then
47:18.04 make sure you use our Outlook
47:19.20 Integrations to create those do dates
47:21.56 create those um of assigning those
47:24.52 emails to the appropriate people put
47:26.24 them in the appr quadrants right then
47:28.64 that's the
47:31.00 key with that I'd be happy to answer any
