1:53.64 have so why do you even prioritize
1:56.12 there's three reasons customer come to
1:57.60 prod Matrix one to become better at
1:59.92 keeping track on the status of work
2:1.72 across many areas of responsibilities
2:4.04 the second is to create alignment across
2:5.88 team members so everyone knows what's
2:7.44 important and then thirdly to take back
2:9.52 controls of emails and meeting and one
2:12.04 of the things I want to bring up is what
2:13.52 happens when we don't prioritize because
2:15.92 um for many of you here today you know
2:17.96 you'll go and and you'll learn about the
2:20.20 stuff that we talk about in PR Matrix
2:22.28 afterwards you'll Implement some of
2:23.60 these things but then what happens when
2:25.44 you don't Implement you know the imagine
2:27.44 if you sign up for the software you
2:29.44 attend the webinar and then right after
2:31.48 this call is over you kind of just let
2:34.00 it be um and some of you will do that
2:36.88 and so there's no question so then my
2:38.84 question to those to those people is
2:41.92 what happens when you don't prioritize
2:44.04 is that you start losing sight on what's
2:46.08 important and you end up working on the
2:47.68 wrong things or you feel busy but you're
2:49.68 not meeting your goals or you're
2:51.40 completely overwhelmed by emails and
2:52.92 meetings and that last point I think uh
2:55.84 hits particularly close to home for many
2:58.08 many people because sometimes times
3:0.20 we're so busy and we're too busy to
3:3.96 prioritize um and it is absolutely
3:6.92 ironic that it's uh it's something that
3:9.36 happened to so many of us um the reality
3:11.76 is at the end of the day it's not about
3:13.60 the software and I'll be the first to
3:15.24 admit it you know using party Matrix I'm
3:17.84 sure there's a thousand other software
3:19.48 you've looked at or you've seen or other
3:21.28 people will use and what happens is it's
3:23.92 not about the software at all it's about
3:26.52 us committing ourselves to actually
3:28.36 prioritizing our task all party Matrix
3:31.04 does is make it a little bit easier to
3:34.04 focus on that prioritization aspect and
3:36.32 be a to communicate that to your team
3:39.80 members so party Matrix is a

5:43.36 mention there is that you know in some
5:45.96 ways using p Matrix is future proofing
5:48.96 your um ability to prioritize your tasks
5:51.52 as well helping your organization be a
5:52.92 little bit more
5:54.00 successful and then thirdly party Matrix
5:56.40 really focuses on prioritization hence
5:58.48 the name um so you know we're not task
6:0.72 management I don't want us I don't want
6:2.60 you to perceive the software as a way to
6:4.80 manage task instead look at pry matric
6:7.92 as a way to track what it is that you
6:10.92 need to work on given the whole um
6:14.88 spectrum of all the things you could
6:16.56 work on right and so when you start your
6:18.76 day and you look at promatrix you should
6:20.64 Buble to see these are the things that
6:22.56 are important and Urgent these are the
6:24.08 things where I need to spend my time and
6:25.96 these are the things that I should
6:27.56 deemphasize and put in the back burner
6:30.36 uh and then fourthly prod Matrix provide
6:32.52 some elements of what I call people
6:34.00 Centric collaboration so it's not just
6:36.08 about projects right if you use a lot of
6:37.84 project management software already or
6:39.40 task management software already you
6:41.16 know you're going through the checklist
6:42.68 and so that's not the point there's
6:44.28 there's um so much more to to how we
6:48.56 should manage our time than to go down
6:50.52 to checklist instead we should look at
6:53.12 you know what are the responsibilities
6:54.48 we have for these individuals for our
6:56.16 managers for direct reports um if you
6:58.72 just need a checklist honestly you can
7:0.44 use any software in fact most people
7:2.12 don't even need a piece of software you
7:3.60 have a bunch of sticky notes and you
7:4.84 that's good enough but if you're
7:7.40 challenged by having too much to do and
7:10.80 being able to understand and need to
7:12.84 understand where to put your resources
7:14.96 that's where part Matrix I think is more
7:16.52 effective and then lastly party Matrix
7:18.72 is available as a SAS solution but also
7:20.84 we have a hipa compliance solution for
7:22.76 healthcare and Life Sciences as well as
7:24.28 an Azure government Cloud solution uh
7:26.56 for state and local governments and of
7:28.44 course manage AZ private Azure

7:37.60 effective in my opinion is that it it
7:39.36 just serves as the single place for
7:42.20 everyone can go to to know what needs to
7:43.92 be done and so you know what needs to be
7:45.68 do now what needs to be done later and
7:47.44 what needs to be
7:49.40 delegated so let's talk about the
7:51.92 philosophy behind patrix so there's a
7:54.24 famous quote attributed to former
7:55.76 President Eisenhower what is important
7:58.32 is seldom urgent and what is urgent is
8:0.92 seldom important now what I really like
8:3.72 about this quote is that it you know
8:6.12 makes you pause a little bit and think
8:8.36 about you know whatever it is that
8:10.24 you're working on right is it is it
8:12.56 urgent or is it important and and
8:15.16 sometimes it's that last email that
8:17.40 comes in that ends up being the first
8:19.36 email you respond to right that's the
8:21.48 last in first out mentality that a lot
8:24.60 of us um kind of work with because you
8:28.44 know whoever whoever pings you the most
8:31.56 get the attention um whoever sends you
8:33.64 the last email get the first response
8:36.56 and so instead what we really should
8:38.20 look at is always stepping back and say
8:40.20 wait a minute am I working on the most
8:42.12 important thing right now and so being
8:43.80 able to to push those emails those
8:46.80 urgent things aside and be conscious
8:49.60 about what it is that we're working on
8:51.52 how we're spending our time is the
8:53.12 single most important thing that we can
8:55.16 do so there's a powerful concept called
8:58.68 the iset how Matrix that is derived from
9:1.24 that quote in particular which is
9:4.04 categorizing your task into four
9:5.96 quadrants um so instead of actually
9:8.60 thinking about tasks from a list
9:10.80 standpoint you look at from the
9:12.40 dimensions of importance and urgency so
9:15.92 do this exercise you know after this
9:18.16 this call take out a piece of paper
9:20.16 start writing down the 15 20 things you
9:22.20 have to do and then start bucket
9:24.72 bucketization
9:29.36 urgent what are the things that's
9:30.44 important but not urgent what are the
9:32.16 things that's urgent but not important
9:33.76 and what's everything else right and one
9:36.44 thing you'll realize the difference
9:37.92 between your your checklist and your
9:40.88 Matrix is that if you were to actually
9:44.48 just start fresh and you look at this at
9:47.36 the start of your day you should be
9:49.32 focusing on the things that's in
9:50.64 Quadrant One the important and the
9:52.28 Urgent right instead of the things that
9:54.12 are Urgent and important and so being
9:56.00 able to see that consciously is really
9:58.40 really helpful
10:0.00 and the other thing you'll notice is
10:1.80 that it's actually quite hard to make
10:5.16 those decisions of prioritization um to
10:8.12 me honestly I think that's the hardest
10:10.16 part you know I have a thousand things I
10:12.04 want to do and uh and of course I have
10:14.48 limited time and resources to do them so
10:16.68 I'm always I always have to pick and
10:18.92 choose where to spend my time so I can
10:21.40 always just go down the rabbit hole and
10:23.08 work on something um but recognizing
10:25.44 that it's not important is so crucial in
10:28.16 how I think about my time allocation so
10:32.28 with that in mind what happens then is
10:35.52 that the Eisenhower Matrix simply is a
10:38.88 visualization of the tasks that you have
10:41.88 and you can think of the things that are
10:43.32 important and urgent as the do now
10:45.44 that's what you should be working on the
10:47.40 things that are important but not urgent
10:49.04 is are the things that in the plan
10:50.52 quadrant that means the are things you
10:51.92 should be thinking about and work on
10:53.72 next and then the things that are urgent
10:55.68 but not important perhaps you could
10:57.08 delegate to somebody else um or delegate
10:59.48 to an external party or something like
11:1.48 that and then lastly you should not have
11:3.72 a sing that's not important and not
11:6.16 urgent instead you could look at the
11:8.20 Quadrant 4 as your inbox this is where
11:11.12 you put down you know new ideas or new
11:14.68 things that you need to evaluate and you
11:16.24 don't know where it fits within the
11:17.52 bigger picture and so it starts there in
11:19.28 the bottom right so this is the a
11:21.48 Eisenhower Matrix and this is the
11:23.32 concept that's you'll see over and over
11:25.64 again when you use our software party
11:27.44 Matrix so when you use party Matrix
11:29.68 everything that you do fits Within These
11:32.32 the The Matrix format
11:36.96 here now I want to emphasize again that
11:41.00 the four quadrants iser Matrix create
11:43.08 alignment because it forces you to
11:44.96 prioritize from the beginning when you
11:47.20 do this particular exercise you're going
11:49.36 to realize how hard it is to actually
11:53.56 pick and choose from the list of all the
11:55.48 things that we can do but here's where
11:57.68 the magic happens when you've done your
12:0.60 party Matrix ask your co-workers to do
12:3.04 the exact same exercise and then sit
12:5.92 together and compare notes imagine if
12:8.60 you could see your manager's party
12:9.96 Matrix then your co-workers party Matrix
12:12.28 and your direct reports party Matrix or
12:14.24 your clients party Matrix right or your
12:16.96 spouse's party Matrix um just think of
12:19.04 from that perspective for a second which
12:20.52 is being able to compare notes and then
12:23.40 seeing what they consider to be
12:25.04 priorities compared to yours do you
12:27.16 think there will always be alignments
12:29.52 and what happens is if you see constant
12:32.12 alignment and you never disagree on
12:33.96 anything you don't need our software
12:35.68 honestly it means you've got everything
12:37.40 under control but I almost will
12:39.64 guarantee you that you will see some
12:42.32 misalignment and what happens is that
12:44.56 most of those time U those misalignments
12:47.20 are subtle right and we just ignore them
12:50.64 and so you can end up working so hard on
12:54.40 a task that no one cares about and then
12:57.72 vice versa you know if you're the
12:59.88 manager and and you have a series of
13:2.20 tasks that are important but your direct
13:4.28 report is going down some rabbit hole
13:6.24 working on things that don't have an
13:8.76 impact on the overall goals and that
13:11.56 happens all the time because we don't
13:13.80 have that communication and so success
13:16.32 from using per Matrix isn't about
13:18.60 finding what everyone agrees on that's
13:20.68 the easy part it's discovering
13:23.04 disagreement on what should be a
13:24.84 priority when it isn't so I want you to
13:27.12 keep that in the back of your mind as
13:28.56 you use Matrix the moment you have a
13:31.12 disagreement that means you're using per
13:33.12 Matrix
13:34.64 correctly so now I have a couple of tips
13:37.24 before I jump into the actual demo of
13:38.96 the product um because I want to share
13:40.92 this with you and hopefully you'll
13:43.52 remember this and you'll think about
13:45.28 this when I'm actually showing you the
13:47.44 product so these are the tips to
13:49.84 shortcut your success um and so one if
13:52.64 you're a manager make sure that you
13:55.16 create a project for your team and team
13:58.56 staff meeting meetings and screen share
14:0.68 during the meetings that's it if you do
14:3.04 that every single week or every two
14:5.00 weeks when you have your staff meeting
14:6.76 and you're just sharing the pry Matrix
14:8.32 on the screen everyone can look at it
14:10.56 and discuss the priority level and see
14:13.76 whether or not you are in agreement or
14:15.24 not if you do that I guarantee that you
14:17.68 will find some really really interesting
14:20.36 insight and not only that you can focus
14:22.88 your attention on the most important
14:25.28 task if you're managing multiple sites
14:28.44 um such as as let's just say if you're
14:31.64 overseeing multiple facilities and each
14:34.12 of those facilities have their own
14:36.44 series of task create a project for each
14:39.56 of those facilities and then invite the
14:41.96 manager for each of those facilities
14:43.92 into those projects so now when you log
14:47.12 into PR Matrix you'll see your list of
14:50.48 um facilities or sites or location or
14:52.84 initiatives and then within each of
14:54.80 those you can click click down and drill
14:57.88 through uh drill down on them and see
15:0.20 exactly what the priorities are for each
15:2.12 of those
15:3.56 location if you're implementing some
15:6.12 specific training program or initiative
15:8.80 then create a project and then turn that
15:10.80 into a template to follow those
15:12.96 guidelines so for example if you uh have
15:15.88 a 30 60 90day plan for all your managers
15:19.04 right that's a very very specific
15:20.92 request um or if you're in planning and
15:24.36 you need to do a lot of SWAT analysis so
15:27.68 it's strength weakness opport threats
15:29.76 right then what happens is you should
15:31.40 use a specific project for each of those
15:34.44 initiatives if you're a business owner
15:36.96 create a project for each of your
15:38.28 departments it's actually very very
15:39.68 straightforward what happens is that you
15:41.32 know business owners just have too many
15:42.76 things on their plate uh and so what you
15:45.56 start losing track of all of those
15:47.28 things and so you know if you just have
15:48.68 a notebook and you're just jotting
15:49.96 things down that takes it out of your
15:52.36 brain and puts on a piece of paper but
15:54.08 there is no sense and reason there's no
15:57.36 organization um and there's no no
16:0.40 ability to track changes over time so if
16:3.32 you're a business owner just create a
16:4.76 project for each of your departments
16:6.60 again have each of your you know person
16:8.92 responsible for that to be in those
16:11.28 departments have them update the
16:13.36 priorities so then at any point in time
16:16.08 you can go in and see what their
16:17.68 priorities are and then you can hone in
16:19.72 and say okay you know what I agree I
16:21.48 disagree and that's where you focus your
16:23.52 conversation because if you are just
16:25.76 waiting for meetings to actually be
16:27.72 align it's far too late you know if by
16:30.56 the time you catch up you realize you
16:32.52 know everyone's been working on the
16:33.76 wrong things and then lastly if you're
16:36.60 just an individual contributor what
16:39.08 happens is create a project for your
16:40.72 goals um actually one of the things
16:42.68 we're working on is the ability for you
16:44.72 to use party Matrix to help get
16:46.40 promotion uh so by the way if you're

17:40.40 open um as you can see this is the web
17:42.84 app so what that means is I can access
17:44.92 this from any computer I can be on my
17:46.88 Mac my windows um on my phone it doesn't
17:49.76 matter all I have to do is go to
17:51.08 affluence.com PM or prym matrix.com and
17:55.08 when I do H uh open this the structure
17:58.00 of pry Matrix is is very very
17:59.52 straightforward right in the middle is
18:1.44 the four quadrants front and center
18:3.68 every single time right so there's no
18:5.72 question around that when you use pry
18:7.20 Matrix you know we just put that four
18:9.72 quadrants in front of you for every
18:11.08 single one of your projects so then you
18:13.44 we make it so it's very visual for you
18:15.12 to see what it is you need to work on on
18:18.12 the left hand side is your list of
18:19.76 projects um as I mentioned your list of
18:22.52 projects depends on your use case if
18:25.88 you're an individual contributor your
18:28.24 project should should be your personal
18:29.80 priorities your goals for the quarters
18:32.00 your goals for the year um maybe some of
18:34.20 the other stuff that you're working on
18:36.24 specific projects that you're
18:37.56 responsible for those are your projects
18:39.88 if you're a manager you might have a lot
18:41.92 of different projects but one of them
18:43.24 might be a team priorities project but
18:45.44 you might also have one project for each
18:47.68 of the co-workers that you work with
18:49.56 right and then again if you are a site
18:52.28 manager you might you and you have 10
18:54.60 different sites that you look after you
18:56.32 might have 10 projects one for each of
18:58.20 those sites and then you might have an
18:59.56 overall project for some key initiatives
19:1.68 and goals that you work on so in my work
19:4.56 account I have like 300 plus projects
19:7.80 and so party Matrix is able to help me
19:9.52 manage all of those things and still
19:11.64 give me valuable insight and be able to
19:13.96 help me prioritize no matter the number
19:16.04 of project that you work with so don't
19:18.52 be scared to create more projects so now
19:21.56 front and center is the four quadrants
19:23.64 and so now let's just say if I have
19:25.56 something I want to do obviously I want
19:27.68 to follow up with webinar
19:30.44 participants okay so that's something I
19:32.44 have to do one of the things I can do in
19:34.20 party Matrix is actually I can just um
19:36.80 say due tomorrow at 2 pm and our system
19:40.68 will use the natural language to turn
19:42.56 that into a due date for me
19:43.76 automatically it's just a really small
19:45.80 thing but it saves me time uh and so now
19:48.60 when that task is created the right hand
19:50.60 side is replaced by What's called the
19:52.48 item details with the item details I
19:54.92 have the item name what the project it
19:57.28 belongs and then below that I have the
19:59.68 owner which is me right now when I
20:1.48 create the task and then the due date is
20:3.68 set for me based on that natural
20:5.28 language and so it uses your local time
20:7.76 to set that due date there's a couple of
20:10.48 other things though I can add to my item
20:12.32 details for example I can start the task
20:15.28 which means that this is something
20:16.76 that's very important and so when I
20:18.16 start a task I'll get a special report
20:20.20 on it as needed I can click on add icon
20:22.96 and choose an icon that might be
20:24.80 representative of whatever um item that
20:27.80 I have this is optional but it depends
20:30.48 on your use case for example if you are
20:33.40 in you know a specific space where you
20:36.88 need to track the status of tasks very
20:39.52 very precisely then you might want to
20:41.44 choose these colors as a way to easily
20:43.68 show that something is is behind
20:45.92 schedule or on schedule Etc if I need to
20:49.20 assign the task to another person I
20:51.28 simply click on the Avatar here and
20:52.92 assign to another person and so as you
20:54.88 can see the other person is replaced the
20:57.76 their Avatar places mine and now they're
21:0.28 the owner for the task and I'm a
21:1.68 follower a follower means that I will
21:4.04 get updates if this task gets updated
21:6.36 right so for example if the task is
21:8.60 completed or if the person has a
21:10.56 follow-up questions or conversations
21:13.24 around the task then I'll get a
21:15.04 notification for it um in my opinion two
21:19.00 of the most important features in PR
21:20.64 Matrix is the due dates and reminders
21:22.96 and let me explain
21:24.52 why if we talk about importance and
21:27.16 urgency
21:28.68 then we really talk about how we spend
21:31.04 our time and if that's the case then we
21:32.92 need due dates and we need reminders and
21:35.88 so the reason why you want to make sure
21:37.84 you set a due dates is if we don't set a
21:39.64 due date then our brain will start
21:41.92 forgetting about it and so if you think
21:43.76 about you know all the things you have
21:45.12 to do um one of the one of the things I
21:47.64 like to to pick on is goal setting um
21:50.96 especially for you know goals for um the

21:56.36 I almost guarantee everybody's gotten
21:59.08 their their um you know goal that they
22:1.36 set for the beginning of the year right
22:2.88 their personal goals the reason is we
22:5.36 set the goal at that point in time but
22:7.84 then we don't have clear dates and
22:9.96 deadlines and reminders that we should
22:12.68 work on it and the same thing happens to
22:15.04 every single important Tas that that we
22:17.20 have because we have many other things
22:19.28 that's competing for our attention so in
22:22.28 my opinion when if you want to use PR
22:24.32 Matrix
22:25.52 effectively yes you use the quadrants as
22:27.84 a way to specif spe ify priority but use
22:30.04 the due dates to specify urgency so I
22:34.24 always set a due date for my most
22:36.36 important task and then after that I'll
22:38.28 set a recurring reminders so for example
22:40.80 I would say remind me daily so now on a
22:45.24 daily basis I'll get a reminder for this
22:48.04 task when I need to follow up with a
22:50.00 customer for example I will always do do
22:53.12 in one month remind me monthly the
22:56.48 difference between reminders and due
22:58.00 dates is following due dates will come
23:0.24 and go right so it'll it'll you know you
23:3.36 have a particular due dates that due
23:4.84 date will come and then hopefully you
23:6.56 get the task done but if you don't then
23:8.32 the due date passes and now it's part of
23:10.16 history and that's when we forget things
23:12.60 and so by setting a reminder it helps us
23:16.16 um first of all make sure that we work
23:18.08 on that task prior to the due dates but
23:20.56 then also if we don't get that task done
23:23.88 party Matrix will constantly remind us
23:26.20 until we Market us done so um it's a way
23:30.20 to trick our brain to overcome this
23:33.28 desire to work on the urgent things so
23:36.76 remember how I talked about the urgent
23:38.16 things that last thing first out right
23:40.20 so what happens is by setting these
23:41.88 recurring reminders it'll constantly pop
23:44.48 back up to your top of your list and in
23:46.96 doing so it forces you to think about it
23:50.16 and either mark the task is done or
23:51.92 change the do dates um or rep prioritize
23:54.60 it as
23:55.76 needed now below that you have the chat
23:58.04 section you saw how I actually created a
24:0.28 comment right here I can actually have a
24:1.80 whole conversation with my coworker the
24:4.48 purpose of the chat section is to have
24:6.60 the conversation be within context it is
24:9.36 so important that you have it within
24:10.80 context let me give you an example let's
24:13.12 just say if you use Microsoft teams and
24:15.12 you're chatting with your co-workers
24:16.96 around multiple things it's great
24:19.92 because you're having this really fluid
24:21.32 conversation the only problem is 3
24:23.88 months from now when you look back and
24:26.00 you're trying to figure out hey what was
24:28.00 it that we talked about what is it that
24:29.44 we decided on you know who's supposed to
24:31.48 do this and all that that's the problem
24:34.12 right when your conversation is fluid
24:36.20 and does not fit within the right
24:38.00 context then you don't have a good
24:39.92 record of all those changes so the chat
24:42.68 section within patrix is intended to be
24:45.44 a conversation within the context of
24:47.32 that task what's nice about that is that
24:49.92 6 months from now a year from now three
24:52.04 years from now someone can go and take a
24:54.52 look at that chat and still understand
24:56.76 exactly what was talked about who said
24:59.56 what and the due dates set and the
25:1.44 changes that were made so it is valuable
25:4.16 as a recordkeeping tool but it's also as
25:6.76 a way to make sure that everyone can
25:8.56 stay focused on that specific task the
25:12.32 note section is where you can add
25:14.16 additional metadata around the task um
25:16.84 and you can also create subtasks so for
25:18.80 example you know follow up with webinar
25:20.72 participants I might have to do a couple
25:22.20 things for it but if you think about the
25:24.20 context of your own priorities you know
25:26.12 think about some of the top things you
25:27.44 have to do you you might have you know a
25:29.24 few subtasks here there that is part of
25:32.12 the um the requirement for you to
25:35.00 fulfill this particular task that you
25:36.72 have and so if you have three subtasks
25:38.96 then you mark one is done then the
25:40.56 progress in PR Matrix will update to 33%
25:43.16 for example the other thing we have
25:45.20 though is something called fill with AI
25:47.56 when you click on fill with AI our
25:49.64 system will go and actually take the
25:52.64 task that you have and come up with some
25:55.36 details and plan for that particular
25:57.80 task in this particular case it just
25:59.72 gives me some information but in other
26:2.12 cases pry Matrix will actually generate
26:4.08 subtasks for me too so if you're someone
26:6.76 that needs to assign task to a lot of
26:8.76 other people all you have to do is type
26:10.84 in a very simple task name and then
26:13.20 click on the uh fill with AI and our
26:15.44 system will create the subtask necessary
26:17.48 to fulfill that and then you can edit it
26:19.32 as
26:20.20 needed finally in the resources section
26:23.00 that's where you can upload files
26:24.52 documents links emails related to this
26:27.44 task again it boils down to the right
26:29.44 context right so if you are um you have
26:32.12 a task around following up with a client
26:35.16 then you can use the resource section to
26:36.84 attach documents or po or uh quotes Etc
26:41.68 relevant to that particular client not
26:44.52 only that you can use our email
26:46.28 integration to actually convert any
26:48.88 client's email into task or attach an
26:52.08 email to an existing task what that
26:54.32 means is you have one central place to
26:56.24 track all of this information
26:58.72 so let me give you an example let's just
27:0.64 say again if you're um uh someone who's
27:5.04 managing multiple sites within those
27:7.20 multiple sites they have a series of
27:9.16 tasks within each of those tasks you
27:11.20 might have um different people
27:13.32 responsible for it but you might also
27:15.88 need to attach like screenshot let's say
27:17.92 you have an issue on the ground floor at
27:21.24 a particular location then someone can
27:23.64 actually go and create a task and snap a
27:26.12 picture on their phone and that gets
27:28.16 synced up into the resources section
27:30.32 then you can take that and assign it to
27:31.96 somebody else and now you have one
27:33.56 central place to ensure that people are
27:35.28 actually getting their things done and
27:37.04 if they don't get it done the task
27:38.88 remains open and the moment the task
27:40.92 gets finished then promatrix will update
27:43.24 this and say that this task was finished
27:45.04 within 14 hours and 30 minutes right and
27:47.84 so it's a way to ensure that everyone
27:49.92 stays accountable uh and the best way to
27:52.64 do that is to make sure that you set
27:54.96 those due dates make sure that you
27:56.76 actually assign it to the pro people and
27:59.16 assign it to the the right
28:1.44 quadrants that's the item details so now
28:4.36 let's talk about how do we create
28:5.80 different types of projects um since we
28:8.24 say how you should have projects for
28:9.68 each of your initiative and so forth the
28:11.44 way it works is you click on this
28:12.96 project and then um you choose create
28:16.08 project here and when you go to create
28:18.12 project you have several different
28:19.52 options the first is a blank project
28:22.16 that's very very straightforward when
28:23.48 you create a blank project it just
28:25.28 creates an empty Matrix with nothing in
28:27.32 it
28:28.88 the second is the ability to use what's
28:30.56 called public templates so in public
28:32.72 templates these are various templates
28:34.56 that we've created um over the years and
28:37.24 it's just a way for you to use some of
28:39.64 the things that we've seen to be useful
28:41.76 for example 30 60 90day plan right or
28:45.32 the um weekly status report templates or
28:48.08 our smart goals template and so what it
28:50.56 does is it actually changes the quadrant
28:52.88 names to reflect different ways of using
28:56.08 PR Matrix
28:58.16 as you use part Matrix more you're going
28:59.84 to find that you're not going to have
29:1.08 just five projects you're going to have
29:2.40 50 and so what that means is that prod
29:4.84 Matrix is flexible enough to let you go
29:7.64 and and track all sorts of other work
29:10.24 that you might have as a one central
29:12.48 place to have all of your priorities and
29:15.12 so that's public templates but you can
29:17.76 also create your own templates so what
29:20.28 happens is imagine if you have a very
29:23.28 specific employee or client onboarding
29:26.48 process what you can do in PR Matrix is
29:29.16 create a PR Matrix create all those
29:31.64 tasks set all those due dates save that
29:34.20 as a template and then when you create a
29:36.56 new you have a new employee or a new
29:38.92 client instead of actually creating all
29:41.20 of that over and over again you just
29:42.80 choose from the template party Matrix
29:44.88 will replicate all of those tasks for
29:46.92 you and automatically set all those due
29:49.12 dates for you from a specific uh day
29:52.20 that you choose so what that means is on
29:54.48 day one your employee needs to do this
29:56.88 on day five your employe needs to do
29:58.68 this and on day 30 they need to do this
30:1.16 and so PR Matrix help you save so much
30:4.16 time and effort um tracking all of those
30:7.08 priorities and ensuring that everyone
30:8.84 knows exactly what they need to do so as
30:11.64 you use pry Matrix more check out this
30:13.64 template section when you use that um I
30:16.76 think you'll find how you can save a lot
30:18.88 of effort and then lastly we have what's
30:21.20 called create with AI uh again one of
30:23.68 the things we want to do is we want to
30:25.84 help save you time right and so here you
30:28.92 might want to type in a goal so let's
30:30.64 just say if you're in operations you
30:33.24 might want to improve your operation
30:34.80 efficiency by 20% or let's say if you're
30:37.64 in sales you want to uh brainstorm some
30:40.32 ways to reach out to more customer and
30:43.40 or if you're a small business owner
30:45.96 maybe you want to figure out what are
30:47.36 some ways that you can improve your
30:49.04 process uh Etc so you just type in your
30:51.52 goal here click next and party Matrix
30:54.16 will actually generate a matrix along
30:56.84 with a series of tasks for you and so
30:59.00 this is something that I recommend that
31:0.44 you guys try right after this call it's
31:2.96 one of those things where we're
31:4.68 constantly improving and then most
31:7.24 importantly we want to make it work for
31:9.24 you in particular and so if you're able
31:11.76 to become more efficient and more
31:12.96 effective with some of these
31:14.24 capabilities then it's worth it uh worth
31:16.64 a shot right and if I choose a blank
31:19.48 project you can see how I can choose my
31:21.24 project name I can choose what um the
31:24.32 naming convention right again swad
31:26.24 analysis or basic as an IR Matrix
31:28.48 and then I can choose a color the idea
31:30.56 with color is to make it visual it
31:32.64 doesn't actually impact anything in
31:34.80 particular but when you look at your
31:36.48 list of matrices then you can see you
31:38.68 know maybe all the blue ones are related
31:40.56 to marketing all the yellow ones are
31:42.92 related to engineering Etc so it's just
31:44.72 a way to help us see some visual
31:48.40 cues okay let's go back to my list of
31:51.40 project here um I want to choose a
31:53.52 project that actually has a little bit
31:55.44 more detail so for example let's see
31:58.24 here um I'm going to go and choose this
32:1.96 project and so as you can see I'm
32:3.56 actually choosing another project here
32:5.24 with a little bit more task inside prod
32:7.52 Matrix when I select a project on the
32:9.76 right hand side I have the project
32:11.40 details so the project details allows me
32:13.60 to change the project I can star a
32:15.76 project when I star a project it pops to
32:18.04 the top of my list here it makes it
32:19.56 easier for me to jump to that project
32:21.80 then I can invite the appropriate team
32:23.28 members so if you're a manager you want
32:26.08 to create a team priority project then
32:28.88 invite your team members to it so they
32:30.56 can have that full visibility then when
32:32.80 you're in that team meeting just project
32:34.80 this onto the big screen you have your
32:36.92 conversation if you need to update your
32:39.12 priorities go ahead and update the
32:40.84 priorities add new items as needed when
32:43.44 everyone go back everyone goes back to
32:45.52 their desk they can open up their PR
32:47.72 Matrix open up the project and see
32:50.00 exactly what everyone else has been
32:52.28 looking at and be exactly aligned and
32:54.80 that's the goal right you don't have to
32:56.80 have a meeting to to have alignment you
32:58.92 can just open up her Matrix and look at
33:0.84 the project and I think that is a very
33:3.36 valuable thing to do um be able to be on
33:6.04 top of things
33:7.88 asynchronously in fewer
33:10.28 meetings um below that you can actually
33:12.40 change the name of the quadrant so
33:13.92 everything is actually customizable so
33:15.84 despite us emphasizing around the
33:17.56 Eisenhower M Matrix the do now do later
33:20.40 in reality you can actually adapt party
33:23.08 Matrix to your specific needs um some
33:26.00 people actually don't like the delegate
33:27.84 quadrant for example because you know
33:29.76 maybe they don't delegate so instead
33:31.28 they change it to resources and so
33:33.40 that's where you can upload documents or
33:35.20 files or um anything else that's
33:37.64 relevant and then down here in Quadrant
33:40.12 4 obviously you can use as inbox but you
33:42.76 can also change it to whatever else
33:44.24 that's that you need and then if you
33:46.00 click on each of these quadrants you can
33:47.44 change the color as
33:49.16 well and earlier I mentioned how you can
33:51.52 create templates this is something that
33:53.32 I you know you can explore on your own
33:55.00 later but if you click on the top right
33:57.00 here you'll get a lot of other choices
33:59.64 on how you can um update your project so
34:2.52 for example you can save it as template
34:4.96 but you can also export a CSV import
34:7.28 from CSV or share the project in readon
34:11.72 mode now the quadrant is front and
34:14.40 center but in
34:15.84 reality at the end of the day it's just
34:18.36 data that's visualized in a specific way
34:21.08 right so what that means is that you can
34:22.72 actually look at your party Matrix in
34:25.16 other views for example the list View is
34:28.00 a way for you to see all your tasks but
34:29.72 you can go in here and sort them by due
34:32.32 dates or by modified or by um icons so
34:36.96 if you have a lot of tasks then
34:39.72 sometimes you actually want to filter
34:41.32 that task and actually see it in a list
34:43.00 form so then you can print it or export
34:45.40 it as needed one of the things that I
34:47.80 like the list view for is a way for me
34:49.80 to see tasks that are overdue uh and so
34:52.56 because I can sort it I can more quickly
34:54.64 jump to those tasks rep prioritize or
34:57.12 change to date as needed and then
34:59.28 there's the calendar view and so the
35:0.84 calendar view takes tasks that that have
35:2.64 due dates and show them on a calendar
35:4.76 and you can click on each task and
35:6.32 modify them or drag and drop them as
35:8.72 needed and then you have the Gant chart
35:10.88 view which takes the task and look at
35:13.08 the dependencies that you may have
35:14.60 created in the resources section and
35:16.80 allowing you to build a Gant chart that
35:18.36 you can you know print or put in your
35:20.84 report to your executive team and then
35:24.00 lastly there's the report section too
35:26.52 where the report section takes the
35:28.28 information that you have for this
35:29.92 particular project and generate a report
35:32.24 for you especially you know if if you're
35:34.64 a manager and you're spending a lot of
35:36.12 time just wondering hey are we working
35:38.64 on the right things um what are the uh
35:41.24 trajectory of the work that we have all
35:43.32 of that is available but here's the
35:45.56 thing I want to mention you didn't need
35:47.60 any of those other views in reality you
35:50.08 know where you should start today is
35:52.28 just the four quadrants use the quadrant
35:54.84 as a way to prioritize your task use the
35:57.80 due dates and the reminders um assign it
36:0.52 to the appropriate people and that's
36:2.04 pretty much it all the other views and
36:4.92 all the other reports and so forth It's
36:8.12 always there when you need it but it is
36:10.96 not a requirement to use patrix so in my
36:14.08 opinion one of the things I always want
36:15.68 to emphasize to customers is that focus
36:18.64 on the most high impact uh features and
36:22.24 those are the ones that I just mentioned
36:23.76 the you know using the quadrants to
36:26.04 prioritize setting the due date
36:28.24 um and then assign it to the appropriate
36:30.08 people let's switch here a little bit
36:32.08 and talk about email management so if
36:34.16 you use Outlook our email integration is
36:37.56 is awesome so let me show you how it
36:39.08 works what happens is let's just say
36:40.92 you're an Outlook and you get a customer
36:42.88 email and let's say you need to assign
36:45.08 to somebody or let's say it's a very
36:46.52 important email and you need to respond
36:48.36 to it but you can't respond to it at
36:50.00 this moment so you want to make sure
36:51.92 that you track it though what do you do
36:54.76 today um likely you probably just Flagg
36:57.36 that email and then leave it as unread
36:59.76 right um I'm sure you do this I still do
37:1.80 it sometimes the only problem with that
37:4.92 approach is if you have five unread
37:7.24 emails and five flag emails that's okay
37:9.44 but what happens if you have 50 flag
37:10.84 emails or 50 unread emails then guess
37:13.48 what you're back to that urgent um the
37:17.80 the last email that comes in is the
37:19.48 first email you respond to so then when
37:21.40 you start your day that that very very
37:23.56 important email starts falling further
37:25.68 and further down the list and now
37:27.52 suddenly you're not never going to get
37:29.56 to it and then two weeks later you you
37:31.60 realize that oh wait a minute I never
37:33.00 respond to that email so the way it
37:34.96 works with part Matrix is the following
37:36.76 you can actually open your outlook you
37:38.64 can go to apps here and then click on at
37:41.08 apps and search for party Matrix turn
37:43.28 email into task that's our Integrations
37:46.20 for Outlook in particular and when I
37:48.20 click on that option um I have two
37:50.20 choices I have the ability to open prot
37:51.96 Matrix or prioritize email so I'll go
37:54.00 ahead and click prioritize
37:55.88 email what this allows me to do is take
37:59.04 that email create a task directly from
38:1.92 it I can actually choose what quadrant
38:4.32 it goes in okay so for example let's
38:6.96 just say my goals are 2024 and then I
38:9.48 can choose what um the the quadrant
38:11.92 quadrant 1 two three and four and then
38:14.04 not only that I can assign it to a
38:15.72 person directly from here and set a due
38:17.92 dates so imagine if you just receive a
38:20.96 very important email you want to make
38:22.80 sure that you don't drop this email
38:25.32 right instead of just forwarding the
38:26.96 email instead of just flagging the email
38:29.28 you actually organize it into the
38:32.16 appropriate Place immediately at that
38:34.60 point in time um and then send it that
38:36.76 due date and now you'll get a reminder
38:38.40 from P Matrix that you got to answer
38:41.24 this this particular email so now if I
38:42.96 click capture email you can see that the
38:45.40 right hand side here looks just like the
38:47.44 my item details that you saw in the web
38:49.60 application down here in the comments I
38:51.76 can say remind everyone weekly right and
38:55.44 now I've just set a weekly reminder to
38:57.60 make sure that I don't drop this email
38:59.80 so there's no other service that allows
39:2.48 you to do something like this um and
39:5.32 then not only that what you can do is
39:7.76 you can take an email and attach it to
39:9.96 an existing task again this is a unique
39:12.32 prot Matrix feature I haven't seen
39:13.64 anywhere else honestly what happens is
39:15.96 if you have multiple emails from a
39:17.76 customer and you need to have it
39:19.52 Consolidated in one central place you
39:21.52 can open prot Matrix search for the item
39:23.80 name and then just click attach so what
39:27.00 that does it it takes an email and
39:28.68 attach it to an exist existing task and
39:31.24 now within that task you might have
39:32.80 everything from purchase order
39:35.04 agreements documents PowerPoints emails
39:38.84 all one central place um and when
39:41.16 someone else takes over that task they
39:43.04 have full visibility on what it is that
39:45.40 they need to do and there's full context
39:47.76 so the worst thing you could do is
39:50.24 forward that email to another person and
39:53.12 then 6 months from now there's no record
39:56.08 of any of this that person May no longer
39:58.20 be at your company um or someone else
40:0.76 needs to take over and they don't have
40:2.24 the full context of the email because
40:4.08 there's all these other conversation and
40:5.56 it's impossible to keep track and so by
40:7.76 using p Matrix you actually have it in
40:10.12 one sensible place um and it's just a
40:12.84 lot more powerful and easier to keep
40:15.64 track of all of that so that's how our
40:17.76 email integration works one of the neat
40:19.96 thing about patrix is that every single
40:22.36 person all of you actually have um a
40:25.64 unique inbox address so let me show you
40:28.20 how that works so here if I go to inbox
40:31.16 what I can do is I can actually copy my
40:33.08 inbox address and I save this inbox
40:36.48 address on my phone as a contact and I S
40:39.00 I call it promatrix inbox so then I call
40:41.92 it inbox promatrix actually what happens
40:44.52 is that when I'm on the road um and I
40:46.88 get an email that's important right and
40:49.28 I'm on Apple mail so I don't have to
40:50.88 Outlook extension I can actually just
40:53.24 forward it into protom Matrix and so
40:55.76 what happens is instead of actually
40:57.36 using the integration here so now
40:58.80 imagine if you're on the phone you can
41:0.60 actually forward it to pry Matrix so I
41:2.92 click forward right and I do inbox per
41:6.52 Matrix um and then I have the whole
41:9.64 content of the email but now in the body
41:11.92 of the email I can do the following I
41:13.44 can say do tomorrow remind me daily so
41:17.88 now I can turn an email into a task inod
41:20.44 Matrix and use the command system
41:23.16 directly from the email that I forward
41:25.20 in fact I could even do aign to and then
41:27.96 I can type the person's email um my
41:30.20 coworker email and now it assigns a task
41:32.24 to them set the due dates and remind
41:34.20 them daily it is super powerful you can
41:36.44 build rules around this so if you're
41:38.48 extremely sophisticated uh you can
41:40.72 actually build rules so then all you
41:42.36 know specific customers emails will go
41:44.52 into specific projects automatically so
41:46.88 prot Matrix lets you do all of those
41:49.52 things now the last thing I want to
41:51.60 mention um is actually Microsoft teams
41:53.72 integration so if you use Microsoft
41:55.44 teams you can certainly install party
41:57.44 Matrix for teams once you do right click
41:59.64 on here and pin it if you click on teams
42:1.84 you can see how everything looks exactly
42:4.28 the same as your web application there's
42:7.04 just a couple of minor changes which is
42:8.84 up here uh you know where the project is
42:11.24 or the menu is and then you still have
42:13.16 the home view this is where you'll get
42:15.52 alerts and notifications of the
42:17.24 important changes that you have so if
42:19.28 you're using p Matrix personally then
42:21.68 the alert section is where you get those
42:23.28 reminders and due dates but if you use P
42:25.56 Matrix with the team this is where you
42:27.48 get notifications when you're assigned a
42:29.48 task or someone updates a task and then
42:33.00 afterwards um you also have uh you're
42:35.68 able to go to other views such as the
42:37.44 agenda where you can actually see all
42:39.08 the tasks that's coming up and then you
42:40.84 can go to click on my items which is way
42:43.20 for you to see all the tasks you have
42:45.04 across your entire PR Matrix so if you
42:48.44 have one project you can that's easy to
42:50.60 manage right but if you have 10 projects
42:53.00 my item is a place where you can go and
42:54.76 see all the tasks that you have across
42:57.28 all of your projects in one central
42:59.96 place one last thing I want to show you
43:2.28 inside teams that's really useful is the
43:5.08 ability to use the one-on-one view so if
43:8.12 you go to a coworker and select that
43:11.12 person you can have this one-on-one View
43:13.36 and what it does it shows all the tasks
43:15.92 you have in common with that person
43:17.72 across your entire pry Matrix so imagine
43:20.36 if you're uh a manager and you have a
43:22.52 couple of uh direct reports you can go
43:24.84 to this view here see all the tasks that
43:27.40 they have across all the different
43:29.24 projects and then you can actually
43:31.04 create share task directly from here so
43:33.76 when you have that one-on-one
43:35.16 conversation or one-on-one meeting you
43:37.20 can hone in and talk about the specific
43:40.16 tasks or action items that's overdue
43:42.56 without having to go to part Matrix
43:44.52 without having to click down every
43:47.00 single project right this will save you
43:48.96 a lot of time and make your one-on-one
43:50.64 meetings a lot more
43:52.80 effective okay with that I'm going to
43:55.20 pause and I'm going to go back to my
43:56.76 present ation and wrap things up um I do
43:59.44 want to mention that P Matrix actually
44:2.20 integrates with so many other things as
44:4.08 well so for example if you um use
44:7.84 Microsoft Edge you can actually install
44:9.92 P Matrix for Edge we also have P Matrix
44:12.04 for Chrome we also have what's called
44:14.44 connectors which means allowing you to
44:16.56 pull in planner to-do um and so forth
44:20.44 and then also we have Integrations with
44:23.80 uh Gmail but then here this is we have
44:26.76 um help pages that explains the various
44:30.00 commands that you can
44:31.56 use okay I'm going to jump back to my
44:35.52 presentation so now it's up on it's up
44:37.72 to you um you know it's on you to one
44:40.64 sign up for PR Matrix if you haven't

46:35.40 successful and if you're successful then

46:42.44 look like on a personal level you should
46:44.36 check promatrix at least weekly basis to
46:46.92 remind yourself of your goals for me I
46:49.16 have a project on my goals and I always
46:51.12 look at it just to remind myself um

46:55.16 track all your priorities and then at
46:57.44 the team level make sure that everyone
46:59.52 understands and our line on key task if

47:11.72 members are doing that then you using

47:17.44 and you're finding that you're
47:18.52 struggling with email prioritization

47:22.36 integration to prioritize your email and
