1:3.88 work life balance um I think you know
1:6.92 one of the things we have to understand
1:8.16 is what happens when you don't have work
1:9.68 life balance and I speak a little bit
1:11.08 from experience of course I've talked to
1:12.84 thousands of customers over the years um
1:15.00 and I've seen all sorts of scenarios but
1:17.52 for me from a personal perspective what
1:20.24 happens when I lose my work life balance
1:22.32 is that I actually get really stressed
1:23.80 out it is just absolutely amazing and
1:26.08 and one thing that's so interesting is
1:28.12 that it's not necessary related to the
1:30.92 amount of work you have it's just the
1:33.16 feeling of losing balance and so you
1:36.00 feel that you're not moving forward that
1:37.92 as in you're working on things but it's
1:39.36 not making a difference and then at the
1:41.20 same time there's a lack of
1:43.00 fulfillment on the contrary when you do
1:46.12 achieve that work life balance I think
1:48.04 you feel that sense of fulfillment as if
1:49.96 you're working on something that matters
1:52.12 and then as a consequence you're just
1:54.08 more psychologically um situated where
1:56.68 you can actually build better
1:57.76 relationships and then lastly if you're
2:0.28 actually having everything aligned
2:1.92 together you can actually achieve your
2:3.60 goals much more
2:5.56 successfully of course one of the things
2:7.32 I want to bring up um that's not to be
2:9.64 taken for granted is that you guys the
2:12.12 the people who are here today during
2:13.64 this webinar and the people who are
2:14.76 listening to this webinar afterwards the
2:16.72 people who are seeking to achieve work
2:18.88 life balance tend to be the people who
2:21.96 are extremely proactive who want to do
2:24.40 better and who are go-getters in the
2:26.56 first place um therefore I think it's
2:29.08 never a down how much work it is that
2:31.72 we're doing it's how do we actually
2:34.08 align everything together so we're
2:35.92 actually rowing in the same direction
2:38.32 and you can obviously think about the
2:40.08 analogy of a robo um and you have you
2:42.64 know multiple forces that's pushing on
2:44.28 you if everything goes in the same
2:47.24 direction then you're actually moving
2:49.00 forward so much more effectively and
2:51.64 that's what I think work life balance is
2:53.36 all about which means you feel that
2:55.28 you're actually able to achieve
2:57.08 everything you want to achieve because
2:58.60 you have that alignment
3:1.72 one of the things I want to highlight is
3:3.36 the biggest myth that um work life
3:7.08 balance means doing less work and I
3:9.60 think this you know many people bring
3:11.20 this up where you know they're working
3:13.16 too hard therefore you should have
3:15.00 worked Less in order to achieve that
3:16.56 work life balance and I think that's the
3:18.96 wrong way to think about it instead you
3:21.20 should look at work life balance means
3:23.60 that you're feeling feeling fulfilled
3:25.92 because you're working on the right
3:27.48 things at the right time and this is um
3:30.40 to me again on a personal level I've
3:32.96 been through extreme cases where I'm
3:35.84 working super hard on everything and yet
3:39.04 at the same time I feel like I'm
3:41.12 balanced and then similarly there are
3:43.48 times when I'm not productive but I feel
3:46.00 so off-balance and I feel like I'm not
3:48.04 getting anything done I'm stressed out
3:50.60 um and because of that you know my my
3:53.32 life balance is is not there so I do
3:56.32 want to bring up this myth because I
3:58.44 think that you know so many people just
4:0.28 look for easy ways out and like you know
4:2.24 what I'm going to step back I'm going to
4:3.52 do less and I'll achieve that balance
4:5.52 and in my opinion the answer is no you
4:7.20 can actually be at 100% across the board
4:11.24 in all directions and you'll feel good
4:14.12 if you're pushing the effort onto the
4:16.80 right task and so um all this boils down
4:19.76 to is the concept of prioritization
4:22.76 right and that is why uh you know this
4:24.68 is tied to party Matrix the software
4:26.60 that our company works on simply because
4:28.72 party Matrix is all all around helping
4:31.24 you understand what is it that you need
4:32.80 to work on and I think that's the
4:35.72 key so if um you're not familiar already
4:39.52 pry Matrix is a comprehensive email
4:41.32 priority and project management software
4:43.52 that helps at three levels at the
4:45.20 individual level which is for all of us
4:47.32 it helps you prioritize your most
4:48.72 important task in emails um and I think
4:50.92 that's where just understanding where is
4:52.56 it that I'm spending my time where is it
4:54.20 that I'm spending my effort what are the
4:55.96 things I need to work on and what are
4:57.48 the things I do not need to work on and
4:59.80 then at the team level it's about
5:1.60 creating the alignment not just for you
5:3.76 but across other team members within
5:6.20 your direct um cohort so you know the if
5:10.84 you're a manager the people you manage
5:12.64 if you're an individual contributor it's
5:14.96 with your manager and then your your
5:16.68 team members and so similarly if you
5:18.96 think about how you're putting your
5:20.20 effort together and instead of just
5:22.36 looking at you know your effort on your
5:24.24 own and you're working towards your
5:25.84 goals if everyone's actually working
5:27.92 towards that team goals you can actually
5:30.64 move yourself forward so much more
5:32.28 effectively and so much more efficiently
5:33.64 how many times have you seen you know
5:35.84 people you know half the people working
5:37.28 on one thing and half people working on
5:38.76 something else and they're actually
5:40.16 opposing each other and I think that's
5:41.96 the O we got to overcome those
5:44.20 forces and then lastly party Matrix
5:46.52 Works across entire organizations to
5:48.64 create a single source of Truth for more
5:50.28 efficient and more effective
5:51.48 prioritization I do want to mention that
5:53.68 this webinar is not necessar about not
5:56.36 necessarily about party Matrix um you
5:58.48 can achieve a lot of the things that I
6:0.08 talk about with any software and in
6:2.28 reality it's not the software that's
6:4.32 important it's your mindset it's how
6:6.48 you're thinking about it it's how um
6:8.64 you're approaching it on the day-to-day
6:10.44 basis and so you could be doing
6:12.40 everything that I talk about here today
6:13.88 on a piece of paper um in fact you know
6:16.20 for me personally I use per Matrix every
6:18.56 single day yet at the same time I also
6:21.00 have my trusty notebook that I write on
6:23.88 and I also have just you know a document
6:26.00 that I work on and so it's again just
6:28.92 about finding that balance and so I
6:30.76 would never judge any of you e whether
6:33.08 or not you use P
6:34.88 Matrix now one of the things that I want
6:37.24 to talk about first is the concept of
6:39.48 the Eisenhower Matrix and so there's a
6:41.60 famous quote attributed to former
6:43.36 President Eisenhower what is important
6:45.76 is seldom urgent and what is urgent is
6:47.52 seldom important and so what I really
6:49.96 like about this quote is it helps us
6:52.32 understand the dimensions of all the
6:55.12 things that we tend to work on so what
6:59.04 this is really saying is that you know
7:1.28 if you start your day and suddenly
7:2.96 there's a a lot of different things
7:4.44 that's coming at you say hey you got to
7:5.80 do this you got to do this you got to do
7:7.08 this those are the urgent things right
7:9.12 and so what this is saying is that those
7:10.92 urgent things are soundly important
7:13.48 they're not and so they're just actually
7:15.36 distractions they're pulling you away
7:17.56 because they're um you know the the last
7:19.72 thing that was on your manager's mind or
7:21.72 the last thing that was on your your
7:23.16 customer's mind and yes you you need to
7:26.16 work on them because you know they're
7:27.80 asking you for all this stuff but the
7:29.72 same time the question you have to ask
7:31.28 is does it help me move forward with my
7:33.68 own goals right so let me give you an
7:36.24 example um obviously you know at our
7:38.44 company we get a lot of customer
7:40.72 inquiries uh you know over I look at the
7:42.52 record we have more than a 100,000
7:44.92 customers inquiries over the years and
7:47.00 so when you look at that we get all
7:48.84 these feature requests from customers
7:51.16 are they urgent absolutely because
7:53.48 someone will say hey I need this right
7:55.20 now and you know that's the last message
7:57.24 that comes in now is it the most
7:59.52 important generally not the most
8:1.76 important um messages are the the
8:5.08 concepts and the ideas that actually if
8:6.88 we Implement would benefit the entire
8:9.16 customer base and so those are the
8:11.28 things that we should really be pushing
8:13.00 our effort on and pushing the boundaries
8:15.56 on with respect to our product but again
8:17.72 the urgent things are the one that
8:19.16 captures your
8:20.36 attention so the the best way to look at
8:23.96 this from an exercise standpoint um is
8:26.60 take all the things that you have to do
8:28.60 and then write them down on the list
8:30.40 right but now what you do is you
8:32.28 actually take those action items and
8:34.32 then start categorizing them hey is this
8:36.36 task important and then is this task
8:38.52 urgent and so when you think about
8:40.36 importance then it's how much it will
8:42.72 impact your goals and your overall um
8:46.36 whatever is that you want to achieve and
8:48.28 then urgency is really around when do I
8:50.92 have to get that done is that something
8:52.16 I have to get done today this month this
8:54.36 quarter is there a specific deadline to
8:56.12 it and here's the most uh tricky thing
8:59.64 which is sometimes your most important
9:1.76 work don't have a due date because you
9:4.20 never defined it and therefore just
9:6.16 sitting in the back of your in the back
9:7.68 of your mind and other things are
9:10.16 constantly taking up that um that
9:14.04 attention from you and you never work
9:16.24 towards your goals um I know everyone
9:18.60 talks about this over and over again
9:20.16 which is I've always wanted to do XYZ
9:23.20 but I never had the time for it that's
9:24.76 because you didn't set a timeline for it
9:27.44 and that is very very important to do
9:29.72 and that's something that I will
9:30.84 recommend that you do by using per
9:33.52 Matrix so the Eisenhower Matrix is
9:36.52 essentially a simple but powerful time
9:38.68 management framework where you take all
9:41.04 the tasks that you do and you split into
9:42.84 two Dimensions importance and urgency
9:45.72 and so what happens there is you have
9:47.20 four quadrants right the important and
9:48.88 Urgent task the important and not urgent
9:51.80 uh the not important but urgent and then
9:54.16 the not important not urgent and what
9:56.24 hap what happens is it helps you
9:58.04 prioritize your task and make the most
10:0.08 out of your time so instead of having
10:2.00 one long list and you have trouble
10:3.72 deciding what to work on and then you're
10:5.88 at risk of choosing to work on the
10:8.16 things that are urgent but not important
10:9.92 when you break it down into this
10:11.32 framework you're able to see and
10:13.20 visualize where you're actually spending
10:14.96 your
10:15.60 effort so the way it works in the party
10:18.20 Matrix software is you have these four
10:20.76 buckets that you put all your task in
10:22.84 you have to do now right that's the
10:24.44 important urgent the plan quadrant are
10:26.72 the things that are important but not
10:27.84 urgent which means you should be
10:29.84 planning your effort towards actually
10:31.52 tackling those and then the things that
10:33.28 are not important but urgent perhaps you
10:35.24 could delegate or you Outsource or send
10:37.76 to somebody else and then finally you
10:39.52 shouldn't ever have the things that are
10:41.52 not important and not urgent because now
10:43.52 if you have them on your to-do list it's
10:45.36 just going to clutter up your brain
10:46.80 clutter up your resources and you know
10:48.72 it's like the junk mail that you should
10:50.08 be deleting it's like uh or the junk
10:52.72 mail the physical junk mail that you
10:54.44 just shouldn't even look at and just
10:56.04 throw them straight in the trash and so
10:57.76 instead of quadrant four is what called
10:59.84 inbox uh which is a place where you just
11:2.68 capture your ideas get it out of your
11:4.28 brain before you decide in which of the
11:6.60 other three quadrants it belongs
11:8.60 to so uh one of the things I want you to
11:11.76 take away from this particular webinar
11:13.80 and and you know just today's
11:15.68 conversation in general is that start
11:18.20 practicing this on a day-to-day basis
11:20.40 everything that is that you're thinking
11:21.92 about that you're working on think about
11:23.84 it from the framework of the Eisenhower
11:25.48 Matrix and that's all you have to do you
11:27.40 don't even have to make any changes to
11:29.04 your or your life or how you tackle
11:31.04 these things right now but if you just
11:33.12 wrote them down into this format and
11:35.84 then track where you're spending your
11:37.60 time as you cross out these tasks and
11:39.64 these action items you work on see what
11:42.08 quadrant it is that you're actually
11:44.12 putting your effort on and that's the
11:45.92 most fascinating thing which is you know
11:47.76 some of us are very good at tackling our
11:50.36 key uh tasks but some of us are not and
11:52.96 so being aware of that is extremely
11:55.44 helpful so now what I want to do is I
11:57.80 want to show you how to adapt this this
11:59.44 framework towards goals because that is
12:1.32 today's um one of today's goals which is
12:4.00 to actually help you understand how to
12:6.76 use something like PR Matrix to set your
12:9.32 goals and Achieve those goals like I
12:11.08 mentioned the personal goals as well as
12:12.44 the professional goals so we leveraged
12:15.04 the exact same framework of the as
12:16.72 andhow Matrix but now instead of having
12:18.52 the do now plan delegate inbox quadrants
12:21.40 we have the goal party Matrix so you
12:24.16 have long-term goals short-term goals
12:26.68 anti- goals and then catchall so this is
12:29.32 let me walk through each long-term goals
12:31.20 these are the things that you want to do
12:33.84 that will help you either in your career
12:36.00 or your life in some significant form
12:39.00 right so if you are thinking about 2024
12:41.92 goals 2025 goals or fivey year goals or
12:44.24 10 year goals those are the long-term
12:46.84 goals now short-term goals are the means
12:49.28 for you to actually get towards those
12:51.12 long-term goals these are the things
12:52.72 that you can achieve on a more routine
12:54.72 basis the problem with only having
12:56.76 long-term goals is you'd never get there
12:58.84 and that's sort of the point you know so
13:0.96 when you're trying to be healthier
13:2.52 you're trying to get a promotion it's
13:4.52 not like you get your promotion and then
13:6.16 you're done right instead you get your
13:8.40 promotion you're like oh actually I want
13:9.80 another promotion or you got your raise
13:11.64 and you're like I want another raise so
13:13.40 it's never over but the short-term goals
13:15.64 are ways for you to start capturing the
13:18.80 individual check boxes so then you can
13:21.16 actually feel like you're accomplishing
13:22.72 something um if you um if you use these
13:26.20 rewards programs from uh you know the
13:29.24 various companies that gives you free
13:30.76 drinks or whatever based on your
13:32.32 purchases they don't start you at zero
13:34.92 they tend to start you at a little bit
13:36.64 beyond zero and they make you they make
13:38.96 it a little bit easier for you to
13:40.32 actually get those first few boxes
13:42.64 checked off right the reason for that is
13:45.08 it helps your brain think oh hey I can
13:47.08 make progress towards this use the same
13:49.36 trick on yourself in the short-term
13:51.04 goals so when you create the short-term
13:52.60 goals put a few things in there that are
13:54.76 easy to accomplish and so as you mark
13:56.76 them off and mark them as done in per
13:58.56 Matrix you'll feel good about it so
14:0.48 that's a trick I want to share with you
14:2.28 on how you think about this now quadrant
14:4.88 three the anti-g goals um this is
14:7.40 actually something that I sort of
14:9.20 created for myself as a personal way to
14:12.24 actually manage all the things that I
14:14.44 have to do and I want to do and then
14:17.08 making sure that I understand what are
14:18.64 the things I shouldn't do it is so
14:21.24 interesting because I just have too many
14:23.40 things on my plate at any point in time
14:25.68 I have a lot of ideas I have a lot of um
14:29.68 things I want to accomplish and so the
14:31.76 whole point of the anti-g goals is for
14:34.20 me to understand hey what are my
14:36.44 boundaries and so if you're able to set
14:38.48 boundaries it is extremely helpful
14:40.88 because it actually constrain you
14:43.24 towards pushing in a certain direction
14:45.56 when you have an entire open ocean you
14:48.16 don't know where to go but if you're on
14:50.20 a river right and you have boundaries on
14:52.48 the left and on the right you're able to
14:54.36 actually move towards a certain
14:56.04 direction much more readily same thing
14:58.32 that applies in your own goals and so
15:0.36 when you say you have your long-term
15:1.72 goals right you may say hey I want a
15:3.64 promotion I want a pay raise but then
15:5.76 anti-g goal might be but I don't want to
15:9.24 you know have to work more than x number
15:12.04 of hours on a per week basis because
15:14.04 then I may not able to spend time with
15:15.80 my family things like that and so anti-g
15:17.96 goals is just a way again for you to
15:20.12 ensure that you have all these things
15:23.00 you want to achieve but at the same time
15:24.64 you will never violate some of these
15:26.56 other things and then finally you have
15:27.88 to catch off which is they equivalent
15:29.32 the inbox um for me personally I have a
15:31.96 lot of ideas and so what happens is if I
15:35.20 keep the ideas in my brain it's going to
15:37.40 be very very difficult for me to work on
15:39.56 a daily basis because I'm constantly
15:41.36 thinking about things but just by
15:42.88 writing down in party Matrix and going
15:44.76 to capture it and put it into my
15:46.56 Quadrant 4 I can actually start having
15:49.40 more clarity in terms of what it is I
15:51.60 need to work on and then afterwards I
15:53.32 can decide where it fits within the
15:54.80 bigger picture Quadrant 4 is designed to
15:57.44 be very very big it's okay that's that's
15:59.80 the point right write it all down there
16:1.92 and then just make sure that you don't
16:3.56 have too many things in Quant one and
16:6.16 too many things in Quant
16:8.48 2 so a couple strategies for setting
16:10.92 goals uh you may be familiar with some
16:12.56 of these approaches but you know just
16:14.68 there's something called uh smart goals
16:16.40 and so that means making sure that you
16:18.40 write goals that are specific measurable
16:20.56 achievable relevant time bound if you've
16:22.72 gone through Management training of
16:24.16 sorts you've probably seen this over and
16:25.52 over again that's always a good idea and
16:28.08 so what happens is that you want to do
16:30.60 that that smart goals for both your
16:32.20 long-term goals and your short-term
16:33.72 goals most particularly your short-term
16:35.92 goals because that's where you want able
16:37.48 to go and and say you know what I've
16:39.32 done something specific uh within a
16:41.40 certain time span right and then you
16:43.04 mark that as done whereas your long-term
16:44.92 goals I think can be a little bit
16:46.48 broader um and that's perfectly okay and
16:49.92 then one of the things that I do
16:51.32 personally is I always remind myself on
16:54.08 why you set up the longer term goals and
16:56.84 so I reflect constantly especially when
17:0.56 I'm down the rabbit hole right and so
17:2.32 again if you have these long-term goals
17:3.80 that you want to achieve and then you
17:5.32 have a bunch of small goals that you're
17:6.52 working on and then you're working on
17:7.92 those
17:8.64 goals every week you have to remind
17:11.12 yourself wait a minute you know the
17:13.04 reason why I'm working on this sub goals
17:15.24 is because I want to achieve these
17:16.84 broader goals and so that's that's a
17:19.16 good thing to do constantly remind
17:20.80 yourself that and I'll show you how to
17:22.32 do that in pry Matrix as well and then
17:25.40 lastly use the anti- gos to set
17:27.04 boundaries just as we talked about
17:28.52 before
17:29.40 um it's always always good to know what
17:31.60 it is that you don't want to
17:34.40 do couple of things um a couple of ideas
17:37.92 here that I think is relevant as you
17:40.28 think about how you use PR Matrix and
17:42.32 how you want to be uh productive and
17:43.92 effective if everything's important and
17:45.84 Urgent then nothing is important and
17:47.36 Urgent right if you want to achieve
17:49.08 everything in the world you're not going
17:50.76 to achieve anything um and then secondly
17:53.36 when you use patrix to prioritize your
17:55.60 task constantly review it and update it
17:58.56 it is is so interesting how much time we
18:1.00 spend working on task and how little
18:3.32 time we spend thinking about whether or
18:5.48 not we should even work on them and
18:7.60 that's something that you have to
18:9.56 prioritize um and that's what I think
18:11.84 the reason why anyone should use prodom
18:14.20 Matrix as a software um or something
18:16.56 like prod Matrix as a software because
18:18.68 you should be thinking about that
18:21.28 identify and eliminate the time waster
18:23.40 this is the equ equivalent of the anti-g
18:25.88 goals essentially you know you have to
18:28.28 decide again on the boundaries of what
18:30.56 it is that you you work on so for
18:32.44 example for me personally I try my
18:34.60 absolute best to have no social media
18:36.76 distractions what happens is there's a
18:38.96 time that you spend on social media but
18:41.08 then there's all this extra time that
18:42.60 your brain is processing it too right
18:44.52 and so it's actually a double whammy in
18:46.08 terms of productivity loss the same
18:48.20 thing applies to unnecessary meetings at
18:50.04 your organization first you have these
18:51.96 meetings that you know may or may not be
18:53.88 productive but then you're spending time
18:55.72 thinking about the meeting then you're
18:57.00 spending time reflecting on the meeting
18:59.28 and you're thinking time uh spending
19:0.68 time thinking whether or not you should
19:1.80 do those things from the meetings and if
19:3.60 the it's down the wrong goals it's not
19:5.96 achieving the the organization goals
19:8.16 then it's a waste of time across the
19:9.80 board and that's the worst use of time
19:11.52 that you can have learn to say no to
19:14.28 tasks that don't align with your goals
19:15.48 and priorities that should be uh
19:17.48 something that all of you probably have
19:19.20 done many many times before it becomes a
19:21.60 practice skill and then break large
19:23.68 tasks into smaller manageable steps the
19:25.60 same thing I said about breaking the
19:26.92 large goals into the smaller goals you
19:28.84 feel that you're going to achieve it
19:30.36 when you break the large task into the
19:32.16 smaller task like you know the subtask
19:34.00 into that Matrix it just makes it little
19:35.92 easier for you to start checking them
19:37.68 off and you'll feel
19:39.24 progress and then some other strategies
19:41.60 around actually achieving things is use
19:43.60 time block to allocate specific time
19:45.40 slot for different task a lot of really
19:48.24 really successful people do this the
19:50.28 reason is you have a fine out amount of
19:53.12 time and if you don't time block you're
19:54.88 going to get yourself pulled into the
19:56.92 wrong directions and you're going to
19:58.16 work on things that are urgent but not
19:59.60 important and so by actually allocating
20:2.08 the specific time slot it allows you to
20:4.36 ensure that you're always working on the
20:6.88 important things and you're dedicating
20:8.44 time on a day-to-day basis for that and
20:11.08 then lastly always assess and adjust
20:13.44 your strategies based on results like I
20:15.60 mentioned earlier even if today you use
20:17.80 prod Matrix and you don't prioritize all
20:20.36 your tasks and you're not working on
20:21.88 quadrant one and quadrant 2 stuff you
20:23.88 want to write that down in par Matrix
20:25.64 and start marking them off so then in a
20:27.76 month in two months in a quarter even in
20:30.00 a year you can review and see okay did I
20:33.20 work on q1 stuff what percentage of my
20:35.80 tasks done were from certain quadrants
20:37.92 right and so I can show you how to
20:39.92 generate those reports in part Matrix
20:41.60 and it's very very
20:43.64 helpful okay um just one last note
20:47.60 around the the Eisenhower Matrix what
20:49.56 happens is you're going to find that it
20:51.72 is not trivial it it's not easy to
20:53.80 prioritize all these tasks and that's
20:55.60 sort of the point and then finally when
20:57.64 it comes to goals success from using per
20:59.96 Matrix is just as much about identifying
21:2.76 what you need to work on every day as it
21:5.84 is about identifying what you need to
21:7.52 not work on every day so make sure that
21:9.96 you spend conscious effort on both of
21:12.60 those things we spend a lot of times
21:15.12 working on things and again we don't
21:16.88 spend enough time thinking about what
21:18.72 are the things we should work on and
21:20.36 what are the things we should not work
21:21.68 on if you actually spent half your time
21:25.04 on understanding where it fits in within
21:27.84 the bigger picture you're going to find
21:29.72 that working on the right things in the
21:33.00 right way is so much better than working
21:35.20 on the wrong things in the right way for
21:38.56 lack of better
21:39.64 words I do want to mention that the

22:40.84 know if you've never seen our software
22:42.16 before this is what the software looks
22:43.60 like so it's just like many other
22:45.68 project management software but the key
22:47.64 difference for us is of course front and
22:49.64 center is the four quadrants right and
22:52.16 so in this particular case um I
22:54.44 typically show the Eisenhower Matrix but
22:56.64 today I'm showing you a project called
22:58.84 goals for 2024 and what happens is I
23:1.96 have my quadrant names of quadrant one
23:4.08 long-term goals my short-term goals my
23:6.60 anti- goals and my catch all just like
23:8.44 what I showed you in the
23:10.12 presentation so if you use patrix for
23:12.64 the very first time this is one of the
23:14.56 things that I would recommend that you
23:15.96 do which is to create a project around
23:19.76 managing your goals and so let me show
23:22.12 you how to do that so if you click on
23:23.88 projects here then you choose create
23:25.88 project then you choose blank project
23:28.16 and then you can call it you know goals
23:30.00 for again 2024 and so let's just say if
23:33.92 you want to get promoted or whatever it
23:36.76 is you can go ahead and type that in
23:38.60 here and then create such a project then
23:41.60 afterwards what happens is that you open
23:43.84 What's called the project details and so
23:46.16 to get to the project details you click
23:47.72 on this I icon right here within the
23:49.52 project and now you have the right hand
23:51.44 side open up which is called the um
23:53.56 project details panel and from here you
23:55.84 can actually change these quadrant names
23:57.48 to short-term goals long-term goals
23:59.20 anti-g goals and catch all Etc so given
24:2.76 the context of the four quadrants when
24:4.72 you create a task inside prod Matrix all
24:7.00 you have to do is choose what quadrant
24:8.52 it goes in again it is not intended to
24:11.04 be a list right that's the point you
24:13.32 have to decide where it belongs and
24:16.16 that's the hard part but that's also the
24:18.00 most rewarding part so let me give an
24:20.04 example um so let's say one of my
24:22.12 long-term goals is to be um improve my
24:26.00 personal fitness for 20 24 okay so
24:29.48 that's a relatively straightforward goal
24:31.44 so now I have that as my long-term goal
24:33.44 so now what happens is when I take a
24:35.56 look at this on on a dayto day or week
24:38.00 by- week basis I want to always look in
24:40.16 my top left and say okay you know what
24:41.84 that's my goal for this year I want to
24:43.92 make sure that I'm actually working
24:45.08 towards that so if you use part Matrix
24:47.28 only to manage your goals that's what I
24:49.20 want you to do I want you to log into
24:51.08 the software on a regular basis just
24:54.20 look at the different goals that you
24:55.72 have and just think did I work towards
24:58.12 my goals yes or no that's all you got to
25:0.00 do but now maybe my short-term goals
25:3.00 would be to you know um uh improve my
25:8.16 again this is one of those things we
25:9.52 want to think about which is smart goals
25:11.80 right you want to be specific um and you
25:14.16 want to be uh able to go and Define it
25:16.92 and have a Time bound so for example
25:19.24 improve my um ability to run one mile
25:26.08 right so that's that's something that's
25:27.36 very specific and then uh within you
25:31.28 know four months or something like that
25:33.56 okay so that's a some that is something
25:35.08 that is a goal a sub goal that I have
25:37.08 and again the whole idea here is this is
25:38.96 something that's time bound within four
25:40.84 months I want able to check this off so
25:43.88 now this is an example of how you might
25:46.12 want to have this project and start
25:48.04 doing this for your personal goals and
25:49.76 then you have another project that you
25:51.44 use for your professional goals and so
25:53.68 your professional goals might be again
25:55.36 how do you get a raise for this year and
25:57.80 then from there you can think about what
25:59.20 are the short-term goals that I have to
26:0.72 achieve that now within each of these
26:3.84 tasks here's the challenge that we all
26:5.96 have which is we tend to forget to do
26:9.64 them and this happens because again life
26:12.84 happens you have your goals for 20 24
26:16.12 I'm sure I'm sure you uh at the
26:17.84 beginning of the year you were thinking
26:19.08 about all these things that you wanted
26:20.40 to do and you know we tend to be very
26:22.60 ambitious uh which is fantastic the
26:25.52 challenge is that once the year actually
26:27.96 starts cards many other people start
26:30.44 sending tasks to us too because they
26:32.24 want to achieve their goals and so
26:34.04 they're assigning us all sorts of stuff
26:36.00 and what happens is that you know this
26:37.84 is that whole delegation box which is
26:40.48 people will think oh hey this is not
26:42.04 something I can do therefore let's ask
26:43.44 someone else to do so if you're a
26:44.92 manager make sure you think about this
26:46.80 but what happens from your perspective
26:49.72 is that you may have so many things on
26:51.56 your plate you're actually not working
26:53.08 towards your own goals so to overcome
26:56.00 this you have to set reminders so when I
26:58.60 have created a task in party Matrix and
27:0.48 I select that task the right hand side
27:2.64 shows me what's called the item details
27:5.28 and so the way the item details works as
27:6.92 the following I have my task but then I
27:9.12 can add a lot of other metadata to it
27:11.32 for example I can assign to somebody but
27:14.36 I'm not because this is related to my
27:16.08 own goals um and so this is assigned to
27:18.24 me and then afterwards next to that I
27:20.68 have something called due dates and I
27:22.00 have reminders so the way it works in PR
27:24.44 Matrix is that when you set due dates
27:26.32 and you set reminders when those the due
27:28.00 dat comes you'll get a notification for
27:30.00 it and when the um you have the reminder
27:31.88 trigger you'll get a notification for it
27:34.04 now the big difference is due dates tend
27:37.20 to happen one time right so for example
27:39.64 taxes is due therefore you got to work
27:42.20 towards that but reminders is a way for
27:44.92 you to actually bring it to the top of
27:46.84 the list on a constant basis to ensure
27:49.40 that you work on it an example that I
27:52.16 have would be emails so I get a lot of
27:54.96 emails on a day-to-day basis what
27:57.04 happens is I want to PR prioritize on
27:58.80 these emails and I want to set a due
28:0.20 date on that email and so I would say
28:2.36 due in two weeks but if I wait for two
28:5.16 weeks to respond that email there may be
28:6.88 a bunch of action items I have to do
28:8.56 that I would miss so what I would do is
28:10.56 I would set a reminder on a weekly
28:12.92 recurring basis to ensure that I
28:15.00 actually work towards that reminder so
28:18.00 to set due dates and reminders you do
28:19.64 the following input Matrix here down in
28:21.88 the message section I can say do in two
28:25.36 months and then I'm going to say remind
28:27.76 me
28:30.12 weekly so patrix uses what's called
28:32.72 natural language to understand to
28:35.08 interpret these tasks that you have and
28:37.32 these commands that you have in order to
28:39.84 set you set those due dates and set
28:41.76 those reminders so now what I've just
28:43.64 done is I've taken my short-term goal
28:46.16 I've time bound it and I've also set a
28:49.12 recurring reminder for me on a Conant
28:52.08 basis so I ensure that I actually look
28:54.08 at this and that is how you trick your
28:56.56 brain what happens is that again we will
28:59.24 always be distracted but if you set
29:2.00 those recurring reminders and you set
29:4.16 those recurring goals this pry this will
29:6.92 pop back up into your PR Matrix and
29:8.76 you'll actually work on them the other
29:10.64 thing you want to do is you want to Star
29:12.36 the task when you star the task it goes
29:14.96 to the top of your list and so when you
29:16.60 use prod Matrix you know when you first
29:19.08 start using prod Matrix you may have 50
29:21.52 tasks or 100 tasks that's perfectly fine
29:23.56 and it's relatively easy to to manage
29:25.60 that but as you use it more and more
29:27.36 that number of Tas becomes hundreds and
29:29.56 then in some cases thousands in my case
29:32.12 tens of thousands and therefore you can
29:34.60 imagine how easily you can be a loss
29:37.52 within all of that so the way it works
29:39.32 is I can start Task and that goes to the
29:41.68 top of my list and so even when I have
29:44.60 you know 50 tasks within a project I
29:47.00 like to Star them so then I can see okay
29:48.92 these are the things that's important
29:50.04 for me right now and then the second
29:51.76 thing you can do is actually you can add
29:53.40 what's called an icon and so when I
29:55.20 click on icon I have a couple of choices
29:57.04 here the idea is not to go and be
29:59.72 completely comprehensive but you can
30:1.64 find some icons that may represent what
30:3.32 it is that you're trying to do for me
30:5.12 personally actually really like these
30:6.76 color icons the red yellow and green and
30:9.36 I've seen customers have good successes
30:11.12 with them the idea is that you can go
30:13.12 and track whether or not you're making
30:14.64 progress towards that task so for
30:16.52 example maybe for this particular goal
30:18.52 is I'm going to go ahead and choose
30:19.60 green it's very visual it's very easy
30:21.56 for me to see and if it's red then maybe
30:23.68 it stands out I can say you know what I
30:25.44 really got to make sure I worked on this
30:27.76 okay and now let's go back to the item
30:29.52 details on the right hand side you have
30:31.12 the chat section again this is where you
30:32.96 can add those comments it also provides
30:34.60 a history of all the changes you have
30:36.44 the notes maybe this is where you want
30:38.00 to add subtask as I mentioned how you
30:40.40 know subtask makes it easier for you to
30:42.24 break this down even further and so
30:44.48 maybe step one step two step three step
30:46.40 four and as you mark the subtest is done
30:48.72 it updates your progress here and then
30:50.72 finally resources this is where you can
30:52.40 upload files documents Etc so imagine if
30:56.48 you have a goal of getting a a new job
31:0.40 or something like that right and then
31:2.52 maybe one of the things you got to do
31:3.84 from a short-term goal standpoint is you
31:5.60 have to go and improve your resume or
31:8.08 you have to build up your LinkedIn
31:10.44 Network or you have to um uh find
31:15.64 Opportunities and so the whole idea in
31:17.40 the resource section is where you can
31:19.16 upload those documents or paste in you
31:21.88 know job opportunities in here as a way
31:24.24 to manage all of those in one central
31:26.12 place so patrix offer an extremely
31:28.84 flexible way for you to manage all of
31:30.60 those components
31:32.56 now one of the things I want to talk
31:34.72 about um which py Matrix itself in
31:36.92 general is that pry Matrix is a project
31:40.68 management software right at its core
31:44.24 what we do is we p uh focus on the
31:47.28 prioritization aspect of it and so that
31:49.64 is why we implement the Eisenhower
31:51.36 Matrix so as you can see here um I
31:54.00 switched project to another project
31:55.60 called personal priorities and in this
31:57.96 particular project I have to do now do
31:59.84 later uh and then resources and files
32:2.36 and inbox as my quadrant categories the
32:5.44 idea here is to have it more like the
32:7.44 Eisenhower Matrix so then when I work on
32:9.68 something I can decide whether or not
32:11.44 it's something that's
32:13.48 relevant something that is high priority
32:16.08 or you know important urgent or
32:17.68 important not urgent Etc so par Matrix
32:20.40 gives you a lot of flexibility as you
32:22.48 think about all the things you have to
32:23.96 do so if you're a manager you might have
32:27.32 a project called team priorities which
32:29.24 is where you can actually track the
32:30.92 priorities across your entire team and
32:33.28 then of course you always have a project
32:34.88 for your personal priorities and then
32:36.76 you always have a project that's s of
32:38.36 your goals for the year or goals for the
32:40.36 quarter something like that and then on
32:42.64 the leftand side here you can see that
32:44.32 in my demo account here I have a few
32:46.28 dozen projects and that's perfectly okay
32:48.80 to have that many projects when you
32:50.48 first get started you might just have
32:52.04 you know three or four or something like
32:53.68 that but then over time you might want
32:55.68 to create new project constantly to to
32:58.08 capture whatever it is that you're
32:59.32 trying to achieve in my main work
33:1.48 account I have more than 300 projects
33:3.76 and so the way it works is that I can
33:5.36 actually star project so now in a
33:7.16 project details I can click on this star
33:9.44 right here and when I do that that
33:11.20 project Pops to the top of my list and
33:12.88 so I'm able to go and always be focusing
33:15.32 on the most important project that I
33:17.12 have at any point in
33:18.84 time so to summarize when you use prod
33:22.96 Matrix to manage your goals and then
33:24.92 when you use prod Matrix to manage your
33:26.48 task the IDE idea is to help you
33:29.64 differentiate from everything else right
33:32.48 and so if you have all these projects
33:35.12 and you don't organize them you don't
33:36.72 star them or anything like that then how
33:38.92 do you decide what you work on and so
33:40.72 you can think of Star as a way for you
33:42.56 to Market projects that's important and
33:45.00 now goes to your top list and then when
33:48.00 you create these tasks make sure that
33:50.04 you always put them into the appropriate
33:52.20 quadrants so then you can actually have
33:54.16 it organized there as well and then you
33:56.28 st the task within the quad quants and
33:58.52 then you set those due dates and those
34:0.00 reminders and honestly if that's all you
34:2.80 did with patrix you can ignore all our
34:5.24 other capabilities you would get 80% of
34:8.44 the value with 20% of the work um I've
34:12.36 always said this to our customers which
34:13.88 is your goal with part Matrix is not to
34:16.04 use our features your goal with part
34:18.00 Matrix is to achieve whatever is that
34:19.56 you want to achieve and typically you
34:22.20 know for our customers what they want to
34:23.92 do is they want to achieve Clarity on
34:26.20 their own personal goals they want to
34:28.20 achieve Clarity on their team goals and
34:31.04 they want to have some sort of
34:32.40 Effectiveness in terms of you know
34:34.56 productivity as well as uh efficiency
34:37.88 with respect to the organization and so
34:40.16 you don't have to boil the ocean when it
34:42.48 comes to prod Matrix because there's so
34:43.72 many capabilities instead focus on the
34:45.92 capabilities that helps you achieve
34:47.76 those goals and so I'll repeat one more
34:50.64 time my recommendations on what every
34:52.88 single one of you should do if you're
34:54.68 new to promatrix one create a personal
34:58.20 priority
34:59.24 project okay you can use the Eisenhower
35:1.44 Matrix here two create a team priority
35:4.48 project so this is where you can invite
35:5.88 your team members uh and so everyone can
35:8.32 be on the same page so then when you
35:9.76 have a meeting instead of just you know
35:12.04 having No Agenda or talking through an
35:14.84 agenda that is not vetted with respect
35:16.84 to priorities instead you just project
35:19.72 your part Matrix onto the big screen and
35:21.80 you're going to find that you're going
35:22.84 to have so much more interesting
35:25.32 conversations and then thirdly create a
35:27.76 project that for your goals like your
35:29.52 goals for 2024 again or something like
35:32.24 you know how to get my promotion Etc and
35:35.40 when you do that and then within each of
35:37.64 those projects when you create task you
35:40.12 simply you know set the star for the
35:42.44 task set the due date set the reminders
35:44.84 and that's all you did I think you'll
35:46.40 find a lot of value out of party Matrix
35:48.12 right
35:48.96 away I'm going to pause for a second
35:51.24 because I'm going to just show you a few
35:53.36 features that may be helpful uh right
35:56.84 after you achieve those right after
35:59.56 you've done those um few things that
36:1.28 I've said which is one to leverage our
36:4.20 AI tool to generate better goals so if
36:8.36 you go to Project again and you choose
36:10.40 create project you saw earlier that I
36:13.00 choose a blank project but the other
36:14.88 thing I can also do is create a project
36:16.72 using our AI so if you are brand new to
36:20.12 PR Matrix and again you have a specific
36:22.00 goal so let's just say get a promotion
36:24.20 for 2024 or improve your marketing by
36:27.76 20% simply typee that goal right here
36:30.96 and then press next and what happens is
36:32.88 PR Matrix will go and build a p whole P
36:36.16 Matrix for you along with action items
36:38.60 that will help you achieve that goal the
36:40.40 neat thing is you can do it over and
36:42.04 over again across all the different
36:43.84 goals that you have and so if you are
36:45.64 running multiple departments or if you
36:48.20 have multiple things you want to achieve
36:50.36 go create several projects using our AI
36:52.84 tool and then you know choose and select
36:55.32 what C uh what task you want to actually
36:58.40 work on and then delete the rest so I do
37:1.32 highly recommend that um the other thing
37:3.32 I want to show you is that if you have
37:5.12 created a project such as this goals for
37:8.00 2024 what you can do is you can click on
37:10.48 this top right here and then save that
37:12.32 as a template so what's neat about
37:14.16 saving as a template is that it allows
37:16.56 you to actually create a goal template
37:18.52 so then when in the future when you
37:20.64 create a project right when you create a
37:22.64 project here what you can do is you can
37:24.88 choose from one of your templates
37:26.56 instead and so you can see I can go to
37:28.16 my templates I can choose a goal for
37:30.28 2024 templates and it will use the color
37:33.36 that I've created it will use the
37:34.72 terminology and the quadrants that I've
37:36.40 created and so that is just a way for
37:38.84 each of us to customize our protom
37:40.96 Matrix to work best for us okay so with
37:45.12 that I'm going to wrap up here um I want
37:47.28 to do mention that there are so many
37:49.04 things I didn't show so for example I
37:51.56 didn't show you how to prioritize email
37:53.64 I didn't show you how to use patrix
37:56.56 inside Microsoft team I didn't show you
37:58.28 how to install our desktop applications
38:0.48 these are things that you can explore by
38:2.16 looking at a webinar or just by uh
38:4.44 learning about pry Matrix but that's on
38:7.28 you I don't think you have to do any of
38:8.92 those things as long as you're working
38:10.68 towards whatever goal is it that you
38:12.68 have with the
38:13.92 software I'm going to go ahead and jump
38:15.80 back to the presentation
38:18.72 here okay
38:21.08 so it's on you um One sign up for pry

38:26.68 Outlook or desktop
38:28.08 uh you can get our desktop apps by going

38:40.64 three projects that I mentioned your
38:42.20 personal priorities your share team
38:44.20 priorities and your goals and again get
38:46.60 started on that today the earlier you
38:48.76 get started on that the more clarity you
38:50.44 have and so so start tracking where
38:52.96 you're spending your time and effort um
38:54.96 and then create items and PR Matrix with
38:57.08 due dat put them in the appropriate
38:58.88 quadrants and make sure you don't drop
39:0.44 them get back into the app constantly to
39:2.88 ensure that you're actually working on
39:4.32 them and then make sure that you
39:5.64 ruthlessly prioritize your time because
39:8.28 if you don't you're going to find that
39:9.60 you're working on things that don't
39:14.08 matter uh so what success should look
39:16.84 like with promatrix and so on a personal
39:18.92 level that one you're checking promatrix
39:21.52 every week to REM to remind yourself of
39:23.60 your goals this is something that I do
39:25.76 constantly myself which is I always look
39:28.24 at my overarching goals and it's okay
39:31.08 for me to change those goals right again
39:33.24 life happens um but I always look at my
39:36.04 my L uh high level goals and then my sub
39:38.64 goals and make sure that I'm actually
39:40.60 putting effort towards those and then if
39:42.72 you're using promatrix correctly you'll
39:44.76 find that it's also works extremely well
39:47.28 as one central place to track all your
39:49.48 priorities it could be for you know work
39:51.88 initiatives it could be for personal um
39:55.12 initiatives that you might have and then
39:57.52 at A Team level what's nice about prot
39:59.64 Matrix is that it puts everyone on the
40:1.84 same page what happens is that when
40:4.36 everyone looks at the the team priority
40:6.28 Matrix together you have this
40:8.40 information that's available where you
40:10.24 can see where's every single person on
40:13.72 your team is focusing on or what should
40:15.64 they should be focusing on so when you
40:18.32 have a meeting or you have a
40:19.48 conversation it's so easy to jump into
40:23.56 um discussing what's truly important
40:26.44 because you know so many times we work
40:28.44 on the wrong things and it's it's really
40:30.44 unfortunate I think that's the worst use
40:32.12 of time for everyone which is to spend
40:35.84 all our effort working on the wrong task
40:38.76 and sometimes you don't realize that
40:40.68 it's the wrong task right unless you
40:42.56 actually have a conversation with your
40:43.76 manager or your stakeholders and so the
40:45.72 whole idea with part Matrix is to get to
40:47.80 that alignment quickly because you guys
40:49.84 can actually be on the same page
40:51.72 instantly and then lastly if you use you
40:54.60 know emails and so forth definitely
40:56.36 check out our email Integrations um for
40:59.08 you to prioritize your email you can
41:0.88 assign emails you can set due dates on
41:2.64 emails you can set priorities on emails
41:5.04 that's the exact same thing when we talk
41:7.12 about tasks and we talk about the things
41:8.40 we have to do I think emails are the
41:11.04 worst when it comes to pulling you away
41:14.04 from what truly matters right emails are
41:16.16 always always urgent and that's the
41:18.44 biggest problem so but there we have a
41:20.24 webinar for that all right that's it um

41:54.48 you have but with pry Matrix you're able
41:56.56 to export project as CSV U you're able
41:59.28 to take project and then import them as
42:1.80 CSV and so you're able to do all sorts
42:3.72 of stuff with CSV so it's it's pretty
42:5.64 straightforward so just reach out to us
42:7.60 there and we'd be happy to
42:11.92 help the other thing I do want to
42:13.88 mention on CSV is there's some specific
42:15.88 format for it so you know could be that
42:18.24 your brain dump uh project is on the
42:20.48 wrong format and so if that's the case
42:22.00 it wouldn't import
