In Quadrant 1, are the action items that need immediate action because of their importance and their due date. Whether these actions are for you, your executive, or others, it is your responsibility to make sure that their priority level is understood and taken seriously. Putting action items in Quadrant 1 helps you convey how critical they are.

In Quadrant 2, are the action items that are are important but are not on such a short timeline. Keeping yourself and everyone else aware of these important action items helps to prevent firefighting and encourage proactivity.

In Quadrant 3, are tasks that are not important enough for you or your executive to worry about. These are actions items that are not priorities for for your executive but should be handed off to a different area of the organization.

In Quadrant 4, you manage all external requests. These could be emails imported into Priority Matrix or items created via the Quadrant Email Address. You will move requests from Quadrant 4 to the appropriate quadrant.
